The Institute for Computational and Data Sciences (ICDS) is seeking an Administrative Support Assistant (part-time wage / 24 hours per week) to join our administrative team. This position will be an integral contributor to a fast-paced and growing team of specialists supported by an exciting $60 million Penn State investment in research cyberinfrastructure. Penn State's elite researchers use our high-performance research cloud to solve real-world problems by conducting simulations, data mining, and other high-performance computing operations. With ICDS, you will have the opportunity to support this groundbreaking work.

As an Administrative Support Assistant, you will:

  • Interface with ICDS staff, faculty, and research groups to coordinate meetings.

  • Attend meetings; record, transcribe and distribute meeting minutes

  • Assist in arranging special events, planning, and coordination of projects

  • Schedule and maintain calendars of appointments and meetings; schedule classrooms or conference rooms

  • Coordinate travel arrangements, make reservations, and process reimbursements

  • Maintain inventory and order/purchase office supplies; arrange for equipment maintenance; process work orders for facilities repairs/needs

  • Assist with document and report reviews and perform data entry; gather, assemble and format data to create simple reports and for investment tracking.

  • Provide backup support for other administrative office staff.

Our desired qualifications and skills include:

  • Excellent communication (written and oral) and interpersonal, organizational, and customer service skills essential.

  • Knowledge and considerable experience with Microsoft Office software

  • Requires strict confidentiality and the ability to manage a large volume of time-sensitive work.

  • Ability to learn general concepts, software programs, and databases quickly and independently.

  • Ability to manage time and projects independently.

Initially, the position will be remote. Upon ICDS's return to campus, the position will reside in the Computer Building.
