Assistant to the Director/Staff Assistant
Performs a range of tasks assigned by the Director, Executive Director, and Financial Administrator to assist with the Mahindra Humanities Center's activities. For the Director's Center-related responsibilities, manages correspondence and calendar, schedules appointments and meetings, makes travel arrangements and itineraries, and maintains careful records. Sends a daily schedule of meetings, phone calls, and other tasks to the Director. Helps coordinate the Center's postdoctoral fellowship program: organizes the application and appointments processes, responds to fellows' questions and requests; schedules and supports biweekly seminar. Handles confidential materials in a professional manner. Answers the Center's main phone line as well as the Director's line, greets visitors, and provides information to callers and visitors. Performs other clerical and administrative duties as required. Occasional weekend and after hours expected. Works as part of the administrative team for the Mahindra Humanities Center and reports to the Director of the Mahindra Humanities Center.
Three years minimum experience required. A combination of education and experience may be considered.
Additional Qualifications and Skills
Individual must have superior organizational skills, ability to prioritize and handle multiple tasks simultaneously, as well as possess a proven ability to track details closely, understand the need for a strong sense of customer service to respond to last-minute changes in schedules, and independently make appropriate adjustments to work flow; ability to establish professional relationships with colleagues across all levels of seniority with poise and tact. Candidate should have strong skills in written and oral communication and proofreading. This position requires sound judgement, a high-level of discretion and the ability to handle confidential information. Must be proficient in Microsoft Office.
