Job Summary

The Bloomberg Harvard City Leadership Initiative (BHCLI) is a joint effort of Harvard Kennedy School and Harvard Business School in close collaboration with and funded by Bloomberg Philanthropies to advance leadership, management, and innovation in cities. This position provides logistical and administrative support for all aspects of the BHCLI Executive Education portfolio of programs. Through this programing, Executive Education will offer multiple executive education courses for mayors and their senior staff as well as for other city roles. These programs will be delivered onsite in New York City, Cambridge, MA and online. The Bloomberg Harvard City Leadership Initiative is currently funded as a four-year project and runs through June 2025. However, this is a one-year term appointment from the hire date that may be renewed depending on funding.

Job-Specific Responsibilities

Assists in the delivery of the BHCLI portfolio of programing both on-site and online, by providing logistical support before, during and after each program session. Maintains a high level of professionalism, teamwork and a focus on customer service. While programs are running, assists in travel, onboarding, meals, answering questions, and directing participants, as required. Contributes to the improvement of programs and BHCLI processes and procedures. Develops strong working relationships with Executive Education colleagues in all units, as well as program faculty, BHCLI colleagues, Bloomberg Philanthropies, other School departments, other University Schools and vendors. Participates on other BHCLI administrative projects and duties as required.

As a Participant Coordinator, responsible for tracking all enrollment information materials, including forms, photos, individual cases, health insurance, etc. Answers participant FAQs prior to travel. Assists on making participant housing and travel arrangements and coordinates all on-site meals, including special dietary needs. Plans and implements special events for programs and, when needed, works closely with Bloomberg Philanthropies events team. Manages/submits financial documentation in support of program activities described above. Assists in program close-out and reconciliation activities.

As a Curriculum Coordinator, prepares and distributes advance materials. Posts advance readings, logistics etc. on the website course page, works directly with faculty to collect/coordinate readings, handouts, coordinating media requests and simulations. Collaborates with both faculty chair and director on development or distribution of program schedule and other materials as necessary, including program binders and branded material. When running programs offsite, works closely with Bloomberg Philanthropies' production team to ensure a seamless delivery. Manages/submits financial documentation in support of program activities described above. Assists in program close-out and reconciliation activities.

Other duties as needed.

Basic Qualifications

Three years of relevant administrative or program support experience.

Additional Qualifications and Skills

The candidate will have the ability to work independently, take initiative and manage multiple projects simultaneously, strong customer service and interpersonal skills, attention to detail, proficiency with word-processing and database systems required. Should be a team player, flexible, comfortable working in a fast-paced, culturally diverse environment. Knowledge/interest in international development, higher education, and/or public policy desirable. Experience with Harvard financial systems and processes desirable. Some travel required. Salesforce, Zoom and Canvasexperience a plus. College degree preferred.

Essential Competencies and skills include composure, integrity and trust, time management, customer focus, learning on the fly, technical learning, boss relationships, action oriented, peer relationships, perseverance, priority setting, self-development, planning, timely decision making and financial acumen.

Working Conditions

Must be willing to work nights and weekends, with OT, when programs are in session. Must be able to lift 25 pounds.

This position is a benefits eligible one year term appointment, with the possibility of renewal.
