Biochemistry is seeking qualified candidates for the position of Administrative Assistant to join our team. The Administrative Assistant provides administrative support to the Biochemistry department head, the undergraduate program, and the office of Biochemistry as needed. This position frequently interacts with students and faculty and provides administrative support for events planned by the department. Responsibilities of this position include, but are not limited to: Ability to manage a busy online calendar for the department head with changing priorities. Supports the undergraduate program by assisting our departmental academic advisors with recruiting, graduation, orientation, force/add process, and processing course waivers and substitutions. With assistance from Curriculum Committee, prepares timetable and teaching load in Banner. Assists with award/scholarship program and acknowledges gifts received to Foundation. Serves as departmental receptionist. Cross-trains on other functions as needed.
Experience providing administrative support to a leader in business or higher education. Experience in calendar management, including the coordination of scheduling meeting times for multiple parties. Experience synthesizing, editing, organizing and proofreading documents, and keeping track of various tasks. Excellent communication skills. Ability to work on multiple tasks simultaneously. Demonstrated proficiency with computer applications such as Microsoft Office, Excel, Outlook, and Adobe Acrobat. Ability to construct, use and manage permissions of digital records. Experience handling student records and assisting with grades. Crafting and coordinating visitor schedules, which involves communication to multiple entities.
Skills and knowledge in word processing, database management, spreadsheet software, calendar management, and managing email. This position requires a person who adapts easily, accepts responsibility, and ensures a high level of accuracy with attention to detail. Competency in grammar, composition, and editing abilities. Must be a problem-solving, multi-tasking person with good organizational skills. Knowledge of or ability to learn university policies and procedures. Ability to work with sensitive information and maintain confidentiality.
B.A. degree preferred in a relevant field or equivalent level of experience. Experience with Student Banner, Hokie Spa, and Time Clock Plus. Experience with Google Docs. Experience in a university academic support environment. Experience in basic social media platforms.
