Job Summary
Ariadne Labs is a joint center for health systems innovation at Brigham and Women's Hospital and the Harvard T.H. Chan School of Public Health. Our goal is to drive scalable solutions for better care at critical moments in people's lives everywhere. Better care means better health outcomes, lower costs, and more actual caring. Critical means solving health systems failures that have major impact, typically touching people by the millions. Ariadne Labs currently has research programs in the areas of childbirth, surgery, palliative care, and primary health care.

The Innovation Platform accelerates the ability of project teams to successfully design, test, and spread interventions by precisely supporting early stage problem definition, leveraging the use of human-centered design methods, and implementing the Ariadne Labs Design Methodology. The platform provides human-centered design, systems engineering, and facilitation expertise.

The Implementation Platform provides support in designing, testing, and delivering effective quality improvement solutions and implementation plans, in accordance with project goals, to meet the needs of end users. Ariadne Labs Innovation and Implementation teams seek a Senior Project Manager of Innovation and Implementation to support their projects, growth, and strategic goals.

The Role

In collaboration with the Assistant Directors of Innovation and Implementation, the Senior Project Manager provides strategic and day-to-day management. The Senior Project Manager will aid in ensuring the platforms are high-functioning and well-integrated centers of expertise. At any one time, there are 20-30 projects in need of innovation and implementation support. This role will implement consistent processes for scoping, planning, and tracking those projects. The Senior Manager will be responsible for sorting through complexities, and creating an integrated and consistent view of the work for the Innovation & Implementation Platforms, across all of their individual projects and team members, and including providing updates to Ariadne's leadership on program progress and project health. As needed, the Senior Program Manager may provide project management support to individual innovation, spark, and implementation groups, ensuring that they successfully meet their objectives. The Senior Project Manager will ensure projects are delivered with high quality and excellence - on scope, on time, on budget.

In addition, as a part of the Innovation Platform, the incumbent will manage the Spark Grant Program which provides seed funding to support the exploration of new ideas for health systems improvement. As needed they will liaise with key stakeholders and faculty to support Spark Grant Program operations through the lifecycle of the grant process.

Senior Managers are considered senior representatives of Ariadne Labs, its mission and its values, both internally and externally. This position requires an individual who is skilled at working consistently and collaboratively within Ariadne's matrix organization to draw in the right expertise at the right time to support the work of the program, e.g. Revenue and Development, Finance, Communications, Science & Technology, Talent Development, and Program Teams.

Job-Specific Responsibilities
Duties and responsibilities include, but are not limited to, the following:

Platform and Strategic Management
  • Develop and implement the necessary systems and processes to improve the efficiency of Platforms (i.e. budget management, people management, team management) for a large, complex portfolio of projects; delivers on the strategy set by the Assistant Directors and leadership
  • Takes part in the annual strategic planning process including budgeting, aligning with organizational priorities and timelines, and preparing for quarterly reviews
  • Develop and reinforce strong communication channels within the teams, and with the Assistant Directors to build and maintain a positive team culture
  • Support scoping of internal projects and new funding opportunities including the development scopes of work for platform team members
  • Identify potential barriers and opportunities for program and project work, solve problems as they arise, and escalate issues where appropriate
  • In partnership with the Assistant Directors, create an internal resource library that captures and incorporates expertise, tools, and networks for application in other innovation contexts through the lab
  • In partnership with the Assistant Directors, create a system for learning from our innovation and implementation efforts, including metrics by which to assess the quality and progress of our projects
  • Collaborate with Finance to ensure program and project budgets are managed, tracked, and updated
  • Develop and maintain positive relationships with key internal stakeholders to effectively secure Ariadne resources and support, including insight to inform significant program decisions
  • Coach, manage, and develop junior team members as needed; contribute to junior team members' annual review assessments
  • Represent the Platforms and Spark Grant Program internally and externally, including composing and delivering regular program communications
Project Management
  • Responsible for all project planning, including:
    • understanding the project objectives
    • building a project plan, including timelines and deliverables, and agile methodologies that meet those objectives
    • revising and updating the tasks, timelines, and deliverables as appropriate
    • Managing, tracking, and updating the program budget
  • Apply Ariadne Labs' key practices of project management, to innovation projects to ensure consistent quality
  • Monitor and guide innovation & implementation projects' health and strategic direction, providing input and problem solving support to resolve key issues and removing obstacles to project success
    • Identify patterns, anticipate obstacles, and effectively share lessons and experiences between and across platform projects/initiatives
  • As necessary, ensure all work is undertaken in compliance with IRB and any other necessary ethics boards in collaboration with the CMO and / or Ariadne's ethics specialist

PLEASE NOTE: This position has a term appointment of one year from date of hire, with the possibility of extension.

PLEASE NOTE: The primary work location for this position is Boston, Massachusetts. Until our return to campus, which is still to-be-determined, this interview process and position will be conducted virtually - including virtual interviews, remote onboarding, and remote work. The remote nature of this position is only temporary. Local, on-campus work will be required as a condition of continued employment once the School and this role return to an operational status that supports it.

Basic Qualifications
  • Bachelor's degree required
  • 5+ years of relevant experience is required
Additional Qualifications and Skills
  • Master degree preferred
  • 5 - 10 years of program management or research coordination experience, including at least 3 years experience in managing multiple projects and people simultaneously preferred
  • Experience in a role requiring leadership and collaboration both within an organization and with external partners preferred
  • Experience managing and mentoring junior team members, both individually and in small teams preferred
  • Experience working in a matrix organization/environment is a plus
  • Familiarity with Google Drive (e.g. Google docs, Google Sheets, etc.), Smartsheet, and other project management software tools preferred
  • Works collaboratively and effectively in partnership and in team settings with colleagues of varying backgrounds and expertise; possesses the aptitude to work efficiently and diplomatically as part of a team effort preferred
  • Excellent verbal and written communications skills, including effective design and facilitation of meeting discussions preferred; a strong communicator and skilled presenter to diverse audiences preferred
  • Aptitude to be flexible, manage under pressure, and maintain a sense of humor preferred
  • Possess an aptitude and enthusiasm for building strategic partnerships and fundraising is a plus
