Job Description

The Administrative Assistant shall assist the Clinical Medicine department faculty and adjunct faculty by performing secretarial duties, organize and maintain the office in the department, coordinate travel arrangements, coordinate calendars including meeting schedules and arrangements, oversee and track faculty reimbursements.

Required Qualifications

High school diploma; *two years office experience.

Two-year degree.

Job Duties
  • promote the mission of Lincoln Memorial University to all faculty, staff, students and to the community at large
  • promote effective working relationships among faculty, staff and students
  • participate on university committees
  • greet and direct visitors in a friendly and professional manner
  • answer and direct telephone calls
  • maintain multiple calendars/schedules
  • provide office support (typing, filing, copying, etc.) as required
  • open and sort mail
  • maintain records and files
  • maintain master attendance sheet for labs
  • communicate with students and faculty regarding attendance and inform students of makeup schedules
  • create lab schedules for OPP and EPC activities
  • manage CME and book allowance per faculty member
  • keep track of and process professional memberships dues for clinical medicine faculty
  • keep log for; attendance, book allowance, CME
  • create lab pairing for OMS-II
  • make EPC badges for all OMS students as needed
  • order supplies for department workroom and breakroom
  • order name badges, white coats, and business cards as needed
  • relieve front desk during breaks and as needed
  • assist the Clinical Exam Center with SPE s, lab practical, SIM labs and/or Skills labs
  • facilitate faculty travel approvals, expense reports and reimbursements/dues
  • order faculty books
  • create student pronunciation badges each academic year
  • keep track of student pairing issues
  • manage print out of lab files and post student pairings outside of lab activities for EPC labs
  • initiate action as necessary for the handling of work items and issues particularly those related to departmental faculty, staff, and students
  • order and maintain paper, stationary supplies for DCOM faculty and staff
  • manage Staples orders for the Clinical Medicine department
  • assist clinical faculty with data management, proctoring labs/exams, formatting exam questions
  • operate and maintain office equipment
  • maintain conscientious work ethic to include punctuality, professional dress and demeanor
  • take minutes for division and department meetings or as assigned
  • assist clinical faculty with data entry, proctoring labs/exams, formatting exam questions, and entering graded SOAP notes in gradebook
  • facilitating reimbursements/dues
  • assist with classroom quizzes
  • assist other administrative staff with overflow work and phone coverage
  • complete institutional and program accreditation reports and other reports necessary for the operation and advancement of the University
  • perform other duties as assigned
