Position Overview

Under the direction of the One Stop Services help desk manager, the Office Associate is a customer-focused student services generalist who provides front-line support in a high-volume service environment. This position serves as a primary point of contact for students, families, and university staff, handling inquiries related to financial aid, balances, payment, registration, and residence life. The Office Associate performs related administrative functions requiring the exercise of independent judgment and working knowledge of University rules and regulations.

Some specific duties include:

  • Maintain a thorough understanding of University procedures and policies to effectively answer frequently asked questions, apply policies and procedures to specific cases, and escalate complex issues appropriately;
  • Use University systems and databases to access student records, troubleshoot issues, verify account information across several offices, update student information, track detailed student interactions, and process requests;
  • Create and maintain spreadsheets to identify and monitor student accounts;
  • Participate in data gathering and analysis projects as assigned;
  • Utilize strong and active listening skills to accurately interpret questions and provide relevant information and guidance on registration, billing, financial aid, and housing policies and procedures;
  • Process, log, and track progress of book vouchers, refund requests, and requests for emergency funds; and
  • Special projects as required.

Required Knowledge, Skills and Experience

  • High school diploma or equivalent with minimum 2 years of related work experience in customer service
  • Excellent listening, problem-solving, and critical thinking skills to accurately interpret and respond to inquiries
  • Strong interpersonal and verbal/written communication skills with the ability to handle inquiries professionally and empathetically
  • Ability to work independently and prioritize workload
  • Excellent time management to accomplish work objectives with the ability to multitask in a fast-paced environment while maintaining attention to detail
  • Proficiency with Microsoft Office Suite and/or Google Suite and the ability to learn University-specific software systems
  • Experience working with diverse populations and a commitment to providing inclusive, student-centered service
  • Satisfactory background and/or DMV checks required.

Preferred Knowledge, Skills and Experience

  • Knowledge of Banner SIS
  • Prior experience at a college or university
  • Ability to speak Spanish, American Sign Language, or use Braille
