Position Description
Performs administrative work in the Office of the President to ensure the smooth operation and functioning of the office. Responsibilities involve the application of constructive measures and appropriate solutions to complex procedural and administrative matters.

The ideal candidate demonstrates exceptional organizational and time-management skills with strong attention to detail, discretion, and professionalism, along with strong verbal and written communication skills.

Major/Essential Functions
  • Collaborate with other members of the Office of the President operations team to ensure efficient daily operations of the President's office, including answering phones, staffing the front office, and distributing correspondence.
  • Manage calendars for select Office of the President team members, coordinate meetings, and ensure timely follow-up on calendar requests from internal and external stakeholders.
  • Coordinate travel for select Office of the President team members and process reimbursements for expenses in compliance with the Office of the President.
  • Process purchasing card reconciliation for the Special Assistant to the President.
  • Manage logistics for Office of the President meetings, including food and beverage services.
  • Manage the Office of the President Conference room, servery and storage spaces, ensuring adequate resources to meet business needs.
  • Coordinate orders for supplies, including computer hardware and printers.
  • Collaborate with the Managing Director of Presidential Operations to plan team-building and recognition activities for the Office of the President team.
  • Conduct annual property inventory.
  • Serve as Unit Safety Officer.
  • Proactively identify and ensure timely communication about emerging or unexpected challenges in order to minimize disruption to the Office of the President's operations.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
Occasional Duties
As assigned.

Required Qualifications
Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.

Preferred Qualifications
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Experience managing calendars and schedules.
  • Experience with travel coordination.
  • Experience with event planning.

Pay Basis: Hourly

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. For additional information, please reference the institutional pay plan website at https://app4.ttuhsc.edu/payplan.
