Administrative Associate II - Reservation Associate
The Lowman Student Center is a 225,000 square foot facility that offers the students, faculty, staff, and greater community a state the art event and programming facility. The Lowman Student Center employs 11 professional staff members and over 70 student employees. The Lowman Student Center is an organization that provides a variety of services to the campus community.
The Administrative Associate II- Reservations Associate assists the Lowman Student Center (LSC) by maintaining the reservation system Event Management Software (EMS) for the Lowman Student Center (LSC) and serves as one of the primary points of contact for all LSC clients. Manages the reservations process for the Lowman Student Center and assists with the management of social media accounts for the department with supervising, purchasing, planning, and coordinating various projects and building services. This position requires an Associate’s degree in a related field. Three years of experience in college union operations, student activities, other experience with event planning or experience in a related field. Knowledge of event scheduling software such as Event Management Software (EMS) is preferred. Experience in Higher Education and specialized work is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Assumes responsibility for maintaining and utilizing the Lowman Student Centers Event Management Software. Acts as the liaison between external/internal clients holding events at the Lowman Student Center (LSC) and between various campus departments. Responds to information requests. Collects, reconciles, and maintains complex data. Communicates University and departmental policies to groups seeking to reserve space in the (LSC) and other campus venues. Consults with academic and administrative offices, as well as student groups to advise, plan, and implement events. Coordinates with technical services, housekeeping, catering, campus police, conferences and events, and marketing to ensure all aspects of events run efficiently. Provides customer service interface for the LSC. Attends events as needed to ensure client satisfaction. Assists with major departmental initiatives and building operations. Supervises information center student staff. Performs other related duties as assigned.
Must possess good verbal, telephone, and written communication skills and provide excellent customer service. Must have strong interpersonal skills, conflict resolution skills, and be adaptable. Position requires willingness to occasionally work a flexible schedule as needed by the department.
