SUMMARY

York County Community College (YCCC), a dynamic institution with a proud 30-year history of transforming lives and communities throughout York County, Maine, is seeking a passionate and student-focused individual to join our team as a Nursing Department Assistant. This position plays a vital role in supporting the daily operations and administrative functions of the nursing faculty and department head. This position involves a wide range of responsibilities, including providing administrative support to the Nursing Department team, assisting faculty and staff, and facilitating effective communication within the department and with external stakeholders.

The ideal candidate will be highly organized, detail-oriented, and committed to supporting the success of the Nursing Department. They will have strong administrative skills, excellent interpersonal and communication abilities, and the capacity to work collaboratively with faculty, staff, students, and external stakeholders. The successful candidate will demonstrate a dedication to fostering an inclusive, supportive environment while ensuring the smooth operation of daily departmental activities.

DUTIES AND RESPONSIBILITIES:

Document Preparation (15%):
  • Draft, edit, and proofread documents, reports, and correspondence on behalf of the Nursing Department.
Data Entry and Record Keeping (10%):
  • Maintain accurate records, databases including Centralized Clinical Placement and Complio, and files related to nursing programs, faculty, and students.
Communication (10%):
  • Act as a point of contact for inquiries from students, faculty, and external parties, and respond to emails, phone calls, and in-person inquiries promptly and professionally.
Office Management (10%):
  • Maintain and organize the Nursing Department office, including managing schedules, appointments, and departmental resources.
Calendar Management (10%):
  • Assist in scheduling meetings, conferences, and events, and coordinate logistics as needed.
Meeting Support (10%):
  • Prepare agendas, take meeting minutes, and distribute relevant materials for department meetings.
Student Support (10%):
  • Assist nursing students with academic inquiries, registration, and course scheduling, and direct them to appropriate resources.
Faculty Support (10%):
  • Provide administrative support to nursing faculty, including assisting with course materials, scheduling, and tracking faculty activities.
Event Coordination (10%):
  • Help plan and coordinate departmental events, workshops, and seminars.
Budget Assistance (5%):
  • Assist in tracking departmental budgets, processing expense reports, and reconciling financial records.
Other duties as assigned.

WHAT YOU NEED TO SUCCEED IN THE POSITION

MINIMUM QUALIFICATIONS:
  • Associate degree or applicable experience in lieu of a degree.
DESIRED QUALIFICATIONS:
  • Bachelors degree (completed or in progress)
OTHER KNOWLEDGE, SKILLS, AND ABILITIES:
  • Three years of administrative experience in a professional/higher education setting.
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and email systems.
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Attention to detail and accuracy in record-keeping.
  • Ability to maintain confidentiality and handle sensitive information.
  • Prior administrative or clerical experience is preferred.
  • Knowledge of or willingness to learn about academic policies, procedures, and regulations.
  • Ability to work both independently and as part of a team.
  • Customer service-oriented with a professional and friendly demeanor.
