Summary: The Associate Director (AD) of Residence Life & Housing is a full-time, benefits-eligible, 12-month position responsible for overseeing and coordinating all housing assignments, department operations, and the upkeep of departmental policies and procedures. This position serves as a strategic partner to the Director of Residence Life & Housing and assumes leadership responsibility in the absence of the Director. As a member of the Residence Life and Housing team, the Associate Director provides context within which students develop the skills required for academic excellence, self-responsibility, cultural awareness, and social interaction.

The AD serves in a second level on-call duty rotation which serves to support our frontline, live-in professional staff. This position reports to the Assistant Dean of Conduct/Director of Residence Life. This position is exempt from provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay for hours worked above 40 in a single work week. This position is not eligible for visa sponsorship.

This position is considered a responsible employee for purposes of the university’s Sexual Misconduct Policy. As such, this position is required to report any incident of sexual misconduct or interpersonal violence to the university’s Title IX Coordinator when made aware of such.

Essential Duties and Responsibilities include:

Oversight of Assignments

  • Provide leadership and direction regarding housing selection and assignments, including room change and check-in/check-out procedures.
  • Coordinate transitions between spring, summer, and fall housing assignments in conjunction with Campus Services, Event and Conference Services, and Campus Police.
  • Utilize housing occupancy software (The Housing Director by Adirondack) to manage the student room assignments and to maintain reports and data related to that process.
  • Manage the University’s returning resident lottery and new student room assignment processes.
  • Respond to inquiries by phone and in writing, making referrals across campus to ensure all student and parent issues regarding assignments and payments are addressed in a timely and respectful manner. 
  • Collaborate with the admissions team to project the number of new and returning students who can be accommodated on-campus each year. 

Policy and Administrative Responsibility

  • Supervise an Assistant Director and Graduate Hall Director.
  • Serve on second level on-call rotation with other professional staff members, to support frontline professionals and respond to after-hours calls and emergency situations.
  • Consult with the Director in establishing policies and procedures for new student housing assignments and facilitate their implementation.
  • Maintain and communicate procedures and regulations pertaining to Residence Life and Housing policies and ensure consistent application throughout the residence halls. This includes the University Student Handbook.
  • Assist in training new and returning staff in all housing processes and procedures.
  • Collaborate and consult with the Director in matters relating to staffing, budgets, building concerns, safety and security, operations, etc.
  • Adjudicate student judicial cases that originate in the residence halls in accordance with Queens Honor Code as needed.
  • Oversee departmental safety operations (health and safety inspections, fire drills, etc.)
  • Maintain a strong presence in campus housing by building strong, positive relationships with residents, custodial supervisors, custodial staff, and student staff.
      • In the absence of the Director of Residence Life, may act in all or some of their capacity with the Residence Life team.

Non-Essential Duties include:

  • Special projects and other duties may be assigned to achieve department and/or university goals.

Experience, Knowledge, and Skills Required:

  • Required – A Master’s degree in Higher Education Administration, Student Personnel, Counseling, or related field, and full-time or graduate residence life experience.
  • At least 3 years of post-graduate professional experience.
  • Dedication to building a high-functioning team that consistently achieves desired outcomes.
  • Experience working with campus housing processes including housing assignments, student conduct, and living/learning programs.
  • A demonstrated commitment to student development and academic collaboration.
  • Management background with student staff supervisory experience preferred.
  • Exhibits a strong ability to effectively balance the competing priorities of customer service and student development.
  • Ability to effectively interact with a diverse population and maintain a positive attitude in time of crisis.
  • Exceptionally strong communication skills (verbal, written, interpersonal, presentation) and ability to quickly establish and maintain strong rapport with a diverse student body as well as throughout the university and external community.
  • Demonstrated commitment to student learning and experience developing and implementing innovative programming in support of same.
  • Strong leadership skills and proven track record of modeling positive behavior at all times.
  • Ability to maintain confidential information in a professional manner; FERPA knowledge a plus
  • Demonstrated organization and planning skills; strong follow-up and follow-through skills to ensure completion of goals and objectives.
  • Software savvy (primarily Microsoft Office, Word & Excel, and the ability to quickly learn Queens-unique software.
  • Must be able to work in a fast-paced environment with demonstrated ability to effectively prioritize multiple competing tasks and demands.
  • Flexibility to regularly work evenings and weekends to achieve objectives of the position, as well as willingness and ability to serve weekly on-call rotation with other professional staff members, to respond to after-hours calls and emergency situations.
