The Grant/Contract Specialist will serve in the College of Atmospheric & Geographic Sciences Grant Management Center (AGS GMC), providing professional administrative support and financial grant assistance for grants across six departments, including funding agencies such as NSF, NASA, NOAA, DOD, and others.

Primary duties include:

  • Manage, update, and prepare spending information throughout the month for all assigned grants in coordination with the Grant/Contract Coordinator
  • Responsible for procurement entries for purchases of equipment, supplies, and materials
  • Responsible for entries of invoices, interdepartmental cost transfers, payroll transfers, and other similar instruments which obligate grant funds
  • Coordinate review and submission of expenditure certifications
  • Enter funding distributions changes for grand funded staff, in coordination with the Grant/Contract Coordinator
  • Process HR ePAFs and coordinate required paperwork for grant funded staff, in coordination with the Grant/Contract Coordinator
  • Prepares necessary documents pertaining to award information. Distributes documents to Principal Investigators and appropriate University offices
  • Distributes information about policies and procedures pertaining to grants and contracts
  • Provides administrative assistance to the office to include but not limited to answering telephone calls, sending fax messages, maintaining office supplies, and making photocopies
  • Performs various duties as needed to successfully fulfill the function of the position
  • Provides assistance pertaining to processing grant and contract documents, communicating with Principal Investigators, administering awards, and distributing information


Job Requirements

Required Education: Associate's Degree, AND:

  • 12 months experience in a clerical or office setting

Equivalent/ Substitution: Will accept 24 months experience in lieu of an Associate's degree for a total of 36 months experience.

Skills:

  • Working knowledge of computer systems and Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Must be knowledgeable of pre-award grant submission process and federal application requirements
  • Advanced organization skills
  • Ability to communicate verbally and in writing
  • Ability to perform multitasks and handle stressful situations.

Advertised Physical Requirements:

  • Must be able to work in sitting position
  • Use computer and answer telephone in an office work environment

Departmental Preferences:

  • University experience with Peoplesoft Financials
  • Bachelor degree
  • Some grants experience
