Faculty Support Admin Support Spec supports and assists the College of Law faculty and graduate programs faculty. This position will assist with daily faculty requests and projects. These requests include assistance with preparation for class, faculty scholarship, and assistance with faculty service obligations. Also, a substantial amount of time will be spent handling online course maintenance in the online learning management system for J.D. and graduate programs. This position will routinely collaborate with other members of the Faculty Support Office in meeting these responsibilities.

Duties include:

  • Assist with online course maintenance including online course setup, updating online course content and posting class materials for online courses.
  • Draft correspondence, documents, forms, charts, presentation material, and templates.
  • Requests supplies to be ordered for faculty member.
  • Prepares various documentation and makes copies and assembles materials for faculty member.
  • Serves as contact person for faculty member.
  • Assist with document formatting, proofreading, and mail merges.
  • May maintain documentation for faculty member that would be confidential.
  • Preparing and filling judicial clerkship recommendations. Assisting in exam preparation and proctoring law school exams.
  • Assist faculty with university sponsored travel including booking flights, hotel reservations, submitting receipts.
  • Facilitate faculty meetings including reserving rooms, managing RSVP's and ordering food.
  • Occasionally assist with editing legal documents, law review articles, conduct basic legal research, and organize and manipulate data supporting legal research.
  • Other related duties as assigned.


Job Requirements

Required Education: GED/High School Diploma, AND:

  • 24 months office, clerical, or administrative experience

Skills:

  • Ability to speak, read and write clear, concise English
  • Basic math skills
  • Proficient with Microsoft Office
  • Able to communicate well and build rapport quickly with students, faculty and staff
  • General office skills such as multi-line phone, copying, filing, faxing, scanning and mail
  • Excellent attention to detail.
  • Knowledge of office procedures
  • General office and customer service skills
  • Proficient in Adobe Acrobat Pro DC

Certifications:

  • Driver's license required for occasional courier duties, conference support and annual events.

Advertised Physical Requirements:

  • Must be able to climb, crouch, pull, push, reach, stand, engage in repetitive motions including movements of the hands, wrists, or fingers, communicate effectively including expressing oneself or exchanging information with others both verbally and in writing, hear including receiving detailed information orally or making fine discriminations in sound, see, including color, depth perception and clarity, and sit for long periods of time.

Departmental Preferences:

  • Passed the National Association of Legal Assistants Certified Paralegals Examination
  • Associate or Bachelor's degree and 18-36 months in a law firm/office as a legal assistant, legal secretary
