We're seeking a dedicated and detail-oriented executive assistant to support our Associate Dean of Academic Affairs at the OU College of Law located on the beautiful OU-Norman campus. This role is key to providing top-notch support to our law and graduate students and involves various administrative and research-related tasks. The position will require a person who can perform administrative tasks that must be completed efficiently and thoroughly while maintaining confidentiality and adhering to a fast-paced environment. Further this position requires the ability to handle confidential information with the utmost integrity and discretion and problem-solving skills with a proactive approach to resolving issues.
The position includes the following responsibilities:
- Perform complex administrative duties for the Associate Dean including but not limited to receiving incoming calls, making travel arrangements, scheduling, assisting with committees, and associated responsibilities for multiple departments
- Managing schedules, creating and handling correspondence
- Acts as liaison between the Associate Dean and adjuncts regarding scheduling, announcements, orientation, online database communications, and more
- Creating and maintaining records related to faculty and staff activities
- Creating and maintaining records related to student records
- Database management for course scheduling
- Directs and coordinates daily operations of the office by serving as a staff and resource person
- Acts as a liaison with internal and external agencies, compiles data, statistics, and other information
- Coordinates and carry out special projects or assignments requiring initiative and independent action
- Assumes day-to-day responsibility for organizing and coordinating specialized clerical functions.
- May assist with other reports for multiple departments
- Performs other related duties as assigned
Job Requirements

Required Education: High School diploma or GED, AND:
- 12 months office, clerical or administrative support experience.
Skills:
- Strong organization and communications skills
- Able to handle frequent exposure to pressure caused by deadlines and busy periods
- Proficient in Microsoft Office Suite
- Basic math skills
- Detail oriented for accuracy of data and information
- Highly organized and able to handle multiple projects and deadlines independently
- ability to work collaboratively in a team environment
- Familiar with Concur, Qualtrics, Salesforce, Zoom, Canvas, Agilon, Avigilon
Departmental Preferences:
- Associate Degree or Above
Physical Requirements:
- Sit for prolonged periods. Communicate effectively and listens. Manual dexterity.
