Assistant Director, Operations
GENERAL SUMMARY: The primary responsibility of the Assistant Director, Operations is to work closely with the Sr. Associate Director of Operations and the Director of Research Systems and Development to provide general office administrative support and assist with a range of tasks related to the operations of the center, including logistics for the weekly workshops and faculty conferences. This position is also responsible for the center's operational functions, maintaining the website, project database, and assisting with the hiring process. With keen attention to detail, excellent organizational skills, and a proactive attitude, the Assistant Director, Operations excels at multitasking and problem-solving to ensure the Center operates seamlessly and efficiently.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Manages the finance workshop, finance lunch seminar, and banking workshop. This includes catering orders, hotel arrangements for speakers, organizing meeting schedules, and logistics the day of the event.
- Assist the Director of Research Systems and Development with tasks related to the hiring process of the research professionals.
- Assists with updating the FMC website.
- Assists with the managing of all data acquisitions for the Center and supports tracking data renewals.
- Assists in updating the FMC project database.
- Assists with collecting and compiling the information for the FMC Annual Report.
- Processes reimbursements for workshop and conference speakers and FMC visitors.
- Assists with logistics for academic conferences, including maintaining registrations and schedules and working the day of the event.
- Manages office supplies and inventory.
- Other duties as assigned.
KNOWLEDGE, SKILLS AND EXPERIENCE:
- Bachelor’s degree required.
- A minimum of two years of administrative and operations experience is required, event and program management experience is preferred.
- Exceptional time, resource management, organizational skills, and attention to detail required.
- Ability to handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions required.
- Ability to work independently with little supervision; possess a self-motivated disposition; identify opportunities for improvement and recommend effective changes, all while achieving key objectives resulting in desired outcomes required.
- Professional demeanor, including tact, discretion, and a customer service-oriented approach required.
- Demonstrated ability to work effectively and diplomatically with colleagues, as well as with students, faculty, and corporate contacts in a multitude of communication methods i.e., in person, email, and phone required.
- Demonstrated proficiency with MS Office (Word, Excel, PowerPoint, and Outlook) required.
- Experience with payment processing and financial systems preferred.
- Outstanding verbal, written, and presentation skills, as well as organizational skills required.
