The Office of the Senior Vice President and Provost seeks an organized, collaborative staff member to join the Academic Personnel Records team. This position will interact frequently with departments under Academic Affairs, providing centralized customer service in the processing of their academic personnel transactions and management of the related relevant data within University policy. This position will report to the Director of the Academic Personnel Records.
All employees of the Provost Office are required to be accessible and cooperative and to adhere to the highest standards of professionalism, customer service and ethics.
Job Duties:
- Upper-level Approver: Reviews, research, and approves personnel action forms in coordination with director. Serves as team lead in processing ePAF(s) and paper PAF(s). Enters relevant data into HR PeopleSoft for assigned departments.
- Coordinates Academic Personnel Records, assisting with training APR team members at a Midlevel approver role.
- Research actions on Banner, PeopleSoft and the OU Directory systems. Serves as lead for OU Directory updates. Assists director in running data and edits for Institutional Research and Reporting (IRR).
- Performs lead proofreading including various letters prepped by APR team as well as managing faculty offer letters. Manages oversight of Sooner faculty email.
- Oversees annual updates and reports to department directory, instructor file, annual reports, IRR audits and purging process. Update and maintain files and documents.
- Consults with director as needed.
- Senior level assisting APR team in setting up and maintaining templates and database for merge documents.
- Assists director in overseeing Regents' agenda and actions.
- Oversees OU Net accounts (academic).
- Performs various duties as needed to successfully fulfill the function of the position.
Job Requirements

Required Education/Experience: Bachelor's degree, AND:
- 24 months in office and financial management.
Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 72 months of experience.
Skills:
- Proficient navigating and maintaining databases.
- Advanced Excel skills with ability to build and manipulate spreadsheets.
- Proficient in Microsoft Office and HR PeopleSoft
- Detail oriented for accuracy of data and information.
- Highly organized and able to handle multiple projects and deadlines.
- Strong initiative to solve problems.
- Able to communicate well and build rapport quickly with students, faculty, and staff.
- Excellent customer service
