Job Description:
Provides high level administrative and legal assistant support to facilitate the work of and manages all aspects of two legal clinics, the Advanced Administrative Litigation Clinic and Criminal Justice Clinic offices.

Essential Functions:
- Maintains calendar for all clinic litigation deadlines; proposes and maintains the clinic case assignment roster; responsible for maintaining all evidence the clinics receive and the clinics' evidence logs; maintains and organizes the clinics' electronic files; responsible for ensuring all clinic bills and invoices are timely paid; preparing documents, reports, and drafts of legal memoranda, including proofreading and cite checking various legal briefs; researches and analyzes client related data as part of the process of writing legal memoranda.
- Answers phones, greets visitors, opens and distributes mail, complies with requests for information, forms, etc. Provides verbal and/or written responses to inquiries from students, the public, employees, attorneys and judges, vendors, etc., regarding a variety of questions.
- Contacts various courts regarding when the Criminal Justice Clinic is accepting cases; alerting the courts when the students are on breaks; and the end of the academic year when the clinic is no longer accepting cases. Monitors the electronic fax systems for incoming and outgoing correspondence for both clinics. Communicate with clients, including returning phone calls to provide case status updates.
- Prepares draft documents or reports and/or researches issues and provides analysis or summary, including petitions for attorneys' fees and costs in successful Black Lung claims, and highly confidential materials relating to court cases for attorneys, courts, medical experts, and clients.
- Corresponds with opposing counsel and insurance carriers for coal operators in securing the payment of awarded fees. Uses standard letter writing etiquette, reviewing drafts for grammar, spelling, punctuation, and content.
- Provides training to Criminal Justice Clinic students on the clinic's case management software program (CLIO). Also provides training on office procedures and policies for both clinical programs during orientation.
- Completes forms and documents. Prepares reports, presentations, mailings, etc. (including using word processing, electronic mail, Workday functions, etc.), and/or modifies, maintains, or creates spreadsheets and databases for analyzing or managing data.
- Performs calculations and computations, including statistical and/or data analysis and account reconciliation. Reviews reports or budgets and compares to standards; identifies and documents variances.
- Maintains and supervises ABA mandated student hour reporting system and provides updates to clinic supervisors.
- Supervises and approves paid summer caseworkers' time entry submissions in Workday.
- Maintains and reconciles budgets; monitors expenditures, prepares both special and recurring reports for supervisor and authorizes payments within prescribed limits; makes recommendations for purchases. Proposes changes and manages annual budgets for the following fiscal year.
- Develops and coordinates office processes. Maintains files and records, following standards for length of file retention as posted by General Counsel. Oversees management of client files (including both active and closed cases).
- Assists the clinic directors with other classes they teach by proofreading exams; maintaining class rosters; and uploading/providing accessibility for students' oral exercise videos.
- Organizes events, planning, and organizing conference and group meetings, and arranges for travel and hotel accommodations for the clinics' directors and student caseworkers.
- Coordinates necessary travel arrangements and develops itineraries. Anticipates and prepares background materials needed. Ensures travel guidelines are met and manages all receipts and business office travel documents.
- Schedules departmental functions and coordinates refreshments or food when necessary.
- Completes web updates and provides web support for all sites.
- Coordinates searches for new hires. Works with Human Resources on all aspects of job posting confirmation with candidates and final selection phases of process.
- Other duties as assigned.
Minimum Qualifications:
- High school diploma plus three to five years of demonstrated high-level administrative and legal assistant support experience, or a combination of education and experience from which comparable skills are acquired.
- Bachelor's degree preferred.
- The applicant must be proficient in Microsoft Office Suite applications, including Word, Excel, and Outlook, as well as the ability to maneuver the internet.
- The applicant must have excellent proofreading, and grammar skills.
- Must be detail-oriented, have the ability to multi-task, and possess strong organizational skills. Must be a self-starter with the ability to work independently.
- Must be able to communicate and interact effectively in a professional, confidential, and courteous manner with clients, attorneys, judges, and court clerks, as well as faculty, staff, and students.
- Demonstrated ability to handle confidential and sensitive information.
- Must be able to work with frequent interruptions and manage multiple projects, priorities and deadlines.
- Previous experience in an academic setting preferred.
