Leads complex and/or highly visible institutional events and public events at the Graham Center and the Wolfe University Center as needed, such as but not limited to lectures, summits and conferences while providing support and counsel to customers regarding event protocol and best practices.
- Focus on revenue generation, spearheading revenue generating initiatives, manages sales opportunities across all operations.
- Oversees the execution of complex and/or highly visible institutional events at the Student Centers and surrounding outdoor areas
- Responsible for all training for guest services and event services areas.
- Responsible for departmental programming and events. Manages and participates in the design of activities and special events. Serve as onsite event scheduler for events processed through the department.
- Supervises Senior Special Events Manager and Junior Special Events Manager at the Graham Center.
- Conducts comparative and bench-marking studies of services, rental fees and "Best Practices" trends in the industry.
- Provides strategic guidance in reference to improving services, space enhancements, technology enhancements, etc.
- Manages relationships and needs of event organizers (student organizations, departments, general public) in selecting a venue and schedules activity in the event management system software. Provides guidelines and addresses fees. Facilitates the production of assigned events, designs space layouts, and coordinates with other service providers to ensure a one-stop shop experience.
- Interprets administrative rules and policies relating to public functions or university events and recommends new and improved programs to effectively manage public functions or university events. Reviews processes for areas of improvement and recommends potential expansion of services.
- Prepares reports pertaining to event planning operations and venue utilization.
- Travels between FIU campuses weekly. as needed, provides event planning, execution, reservations at the Wellness and Recreation Centers, Housing and Residential Life, Trish and Dan Bell Chapel, and other operational units/facilities as needed.
- Manages inquiries about spaces and their availability, reservation processing, coordination of paperwork such as insurance, coordination of event logistics such as staffing, ensures successful event production, and payment processing. Responsible for coordinating services with university providers, such as Facilities Management, FIU Police, Parking, etc.
- Responsible for the day-to-day operations of the Student Centers Guest Services (including but not limited to: Game Room and eSports Lounge units. Provides excellent customer service.
- Serves as the event manager for the eSports groups, supporting the university's efforts in aligning eSports in academics and recreational opportunities and achievements for our students.
- Responsible for the process of student management, on-boarding and mentoring for the Guest Services unit at the Student Centers.
- Maintains confidentiality in accordance with university, state, federal laws, rules and regulations.
- Serves as the merchant account's primary contact or technical contact; Handle sensitive cardholder information and/or processes credit cards transactions for the department/unit; Will have access to a third-party system (software, gateway, etc.) that processes, transmits, and/or stores cardholder information.
- Conducts tours for clients, staff and students of the facilities.
- Assists with periodic compliance auditing of reservations, information and procedures.
- Oversees and manage "Free Speech" and "Expressive Activities" programs at the Student Centers in collaboration with Operations Team, FIU PD and other university entities as needed.
- Serves on University-wide planning committees, as assigned.
- Attends on campus and off campus event conferences and expositions to help promote the growth of the student centers.
- Performs essential duties in any emergencies such as hurricanes, storms, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
Minimum Qualifications:
Master's degree in appropriate specialization and two (2) years of experience in student union operations or student affairs.
Desired Qualifications:
- Experience in event planning/production (from conception to execution).
- Knowledge of event management systems.
Salary: $65,000 - $75,000
Work Schedule:
Begin time: 9:30 AMEnd time: 6:00 PM

- Ability to work flexible hours as needed.
- Ability to work occasional evenings, weekends and at locations outside of the University
