Look no further.... you can be part of the Gallogly College of Engineering Team where you will provide administrative support for the Gallogly College of Engineering. As the first point of contact with the dean's office, you will be responsible for receiving incoming calls, resolving questions and problems, and scheduling conference rooms. Additionally, you will be responsible for some inventory management, report preparation, and assistance for the payroll/financial teams. Duties Will Include:

  • Front desk/reception duties will include answering phones, greeting and directing guests, incoming mail distribution, receiving package deliveries, event support, etc.
  • Processing and coordination of HR/General operations tasks:
    • General office supply inventory and ordering
    • Breakroom management
    • Create, maintain, and distribute an accurate college wide phone contact list.
    • Reviewing room requests and scheduling spaces as needed.
    • Copier maintenance requests, toner orders, replacement.
    • Computer hardware receiving, tagging, logging and communication to all parties required.
    • Loaner laptops - check out/check in and tracking log.
    • Keys - check out/check in and tracking log.
    • Remote work agreement requests, routing oversight, tracking of approvals and follow up on renewals.

Support and Coordination of Financial Support Tasks:

  • Telecommunications - Coordinate with Telecom for all college level updates to phone systems, extensions.
  • Software renewals - in coordination with college financial staff, assist with requests, paperwork, and processing of all active college provided software in student computer labs.
  • Pcard reconciliation support as needed.
  • Backup and assistance during especially busy periods for student appointments, ePAF entry, additional payments, etc.

Student Services related support for general ENGR courses:

  • Preparation of reports, copies, materials for ENGR courses as needed.
  • Performs related duties as assigned to successfully fulfill the function of the position.


Job Requirements

Required Education and Experience: High School Diploma or GED., AND:

  • 24 months office, clerical, or administrative experience.

Skills:

  • Knowledge of office procedures.
  • General office and customer service skills.
  • Knowledge of Microsoft Office Suite (Outlook, Excel, and Word).
  • Excellent interpersonal skills.
  • Ability to work independently and as a team player.
  • Ability to complete tasks in an efficient and timely manner.
  • Must be detail oriented for accuracy of data and information.
  • Ability to multitask, be organized, and self-motivated.
  • Ability to work in stressful situations.
  • Ability to communicate verbally and in writing.
