Position Highlights

The R. Ken Coit College of Pharmacy invites qualified applicants to apply for the position of Graduate Program Coordinator. The ideal candidate will be passionate about supporting student success throughout their program. The Graduate Program Coordinator plays a vital role in maximizing student retention and persistence throughout their program by building formative relationships with students and ensuring they are completing all program requirements successfully. The Graduate Program Coordinator (GPC), for this position will coordinate various aspects of six graduate program tracks (MS and PhD degrees) in the College of Pharmacy including managing applications, graduate recruitment, admissions, advising, assistantships, reports, and the annual program review.

Duties & Responsibilities

Administrative Responsibilities:

  • Provides support to the Director of Graduate Studies (DGS), Graduate Program Track Directors (GPTD), major faculty advisors, graduate committees (faculty members), and the Graduate Student Council (prepares agendas, schedules meetings, participate in meeting discussions, etc).
  • Aids in preparation of new graduate-focused programs, new graduate level courses and modification of pre-existing graduate level courses as necessary.
  • Provides organizational and administrative support for seminar programs, and graduate student awards and symposium events.
  • Processes the fall and spring course schedules and submits classrooms reservations for courses and final exams.
  • Gathers data and completes the Graduate Council, Outcomes Assessment and AACP reports.
  • Gathers data and assists in the process to undergo an Academic Program Review.
  • Ensures high quality services considering the fast-paced environment and diverse program needs.

Applicants, Recruitment, & Marketing Responsibilities:

  • Responds to graduate program application inquiries.
  • Monitors GradApp and departmental webpage to ensure graduate program information is accurate and up to date.
  • Prepares and distributes information promoting graduate programs.
  • Creates and emails offer letters for admission and regularly follow-ups as needed.
  • Supports and attends ABBS recruitment events and distributes event information to faculty and students to encourage participation.
  • Monitors annual review of graduate program handbooks, GradApp, and the departmental webpage to ensure graduate information is accurate and up to date.

Newly admitted Graduate Student Responsibilities:

  • Coordinates communication with newly admitted students for next steps, orientation, course enrollment requirements, and major advisor/lab rotation selection.
  • Submits requests for new student email accounts.
  • Appoints GA's in a timely manner, creates and emails offer letters and ensures new hire documents are completed accurately for processing.

Current Graduate Students Responsibilities:

  • Serves as expert for the graduate student handbooks implementation updates.
  • Serves as academic advisor and meets with graduate students regularly to ensure Grad College and ISPS registration requirements are met; milestones are completed in a timely fashion; and Satisfactory Progress Guidelines are adhered to.
  • Submits Financial Aid awards and maintains records.
  • Help students identify appropriate resources or refer them to their graduate program track director if problems arise.
  • Keeps students informed of program or UA requirements such as: seminar presentations; travel regulations, and company credit card purchase policies.
  • Conducts degree audits for students eligible to graduate.
  • Manages student and faculty MS and PhD Outcome Assessment rubrics, comprehensive exam and dissertation forms.

Stakeholder Responsibilities:

  • Serves as point person and information source for all University and departmental policies and procedures relevant to graduate education.
  • Works in collaboration with the Office of Academic Affairs / Assessment (TA, instructional assistant, and proctoring assignments, Outcomes Assessment and AACP reports, and GA evaluations).
  • The GPC is the administrative link between the program and the Graduate College, Registrar and Financial Aid Office.

Knowledge, Skills, and Abilities:

  • Strong written and verbal communication skills.
  • Ability to oversee and handle multiple projects at once.
  • Ability to support and advise students with degree completion.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 5 years of relevant work experience, or equivalent combination of education and work experience.

Preferred Qualifications

  • Knowledge and experience working with University of Arizona Graduate College is preferred.
