This position will coordinate time and leave, student employment and volunteers. Calculate overtime and shift differentials. Review timesheets for accuracy and assist with training employees and supervisors on time and leave submission and approval. Process requests for student employment, determine eligibility, packet completion and coordinate with the appropriate departments. Oversee the volunteer process. Serve as an initial reviewer for pre-employment background checks. Assist with scanning and labor law posting requirements. Serve on the Wellness Committee and distribute wellness information with the campus community. Serve on Americans with Disabilities Act (ADA) Accommodation panels.

This position is required on campus, in person and will offer the possibility for one remote day upon completion of training and department needs.

REPORTS TO: HR Data & Systems Manager 

Minimum Qualifications

  • Completed Bachelor’s degree from a regionally accredited institution OR completed Associate’s degree with two years of professional level experience performing similar duties to those described for this position OR four years professional level experience performing similar duties to those described for this position.  
  • Two years of professional level experience in human resource related functions (i.e. interviewing, timesheets, leave, etc.).  

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Completed Master’s degree from a regionally accredited institution.
  • Experience working in a Colorado higher education or community college environment.
  • Three or more years of experience in human resource related functions. (i.e. interviewing, timesheets, leave, etc.).
  • Experience utilizing Banner or other HRIS systems.
  • Experience interpreting State of Colorado rules and procedures.

Essential Functions 

Time and Leave Management

Manage leave earned and used; manage timesheets; conduct training for employees and supervisors; manage supervisor changes; audit all time and leave on a monthly basis; report on various leave balances, usage, and accruals for reports; submit time and leave for employees that are unable. Calculate leave without pay for monthly and bi-weekly payroll processing; calculate leave payout amounts for terminating employees; calculate compensatory time and other premium pay differentials. Manage other leave types with or without pay. Serve as a time and leave resource for the PPSC community.

Student Employment

Serve as the primary contact for student employees and volunteers.  Provide guidance and training to supervisors of student employees and volunteers.  Coordinate student employment processing with Payroll and Financial Aid.  Input and maintain data integrity of student employee changes and hires.  Manage student and volunteer onboarding platform.  Update and maintain student employment and volunteer logs.  Utilize student enrollment reports to determine employment eligibility. Notify appropriate parties to end employment and work with the supervisor to determine if other employment options are possible. 

Compliance

Obtain required personnel documentation. Ensure accurate completion of personnel files. Utilize I-9 to determine employment eligibility. Consult with Associate Vice President for Human Resource Services for non-citizen eligibility. Audit direct deposits and W-4 forms to ensure compliance with operational guidelines. Ensure Labor Law posting requirement are met. Assist with scanning and personnel file maintenance. Serve on Americans with Disabilities Act (ADA) Accommodation panels and make recommendations on reasonable accommodations.

Employee Wellness

Serve as the chair of the Wellness Committee and represent the Wellness Committee during campus events. Create monthly wellness newsletters to distribute to the campus community.
