About the Department:

The Jimmy and Rosalynn Carter School for Peace and Conflict Resolution is seeking an Events & Administrative Assistant to assist the Events Manager to promote online and in-person events at our Arlington and Fairfax campuses, and to provide administrative assistance to Undergraduate Admissions and Student Services staff members. This position will be based at Mason's Fairfax Campus but may need to travel to Arlington for events some nights/weekends. The schedule will vary weekly based on the events schedule.

About the Position:

The Events & Administrative Assistant will assist the Undergraduate office with event management, including but not limited to event scheduling and planning, working closely with internal and external clients, event logistics and execution, managing budgets, and social media.

Responsibilities:

Event Coordination
  • Plan and coordinate all events and activities for external (non-Mason) and internal (Carter and other Mason) groups on the Fairfax and Arlington campuses in support of Carter's goals and mission;
  • Work with faculty/staff on Carter School events, coordinating with other key members of the Undergraduate team and Events Manager to streamline operations between the Graduate and Undergraduate teams;
  • Answer inquiries, schedule events, manage events calendar and registrations, arrange catering and other logistics;
  • Provide advice and onsite support to event leaders;
  • Assist with event budgets, invoicing, event agreements and payments;
  • Compose and schedule weekly events newsletter through Constant Contact;
  • Keep Carter website events page up to date using 25live;
  • Create event marketing materials, working with social media team to promote upcoming events; and
  • Manage the Undergraduate Instagram page advertising events and other undergraduate marketing content.
Office Management:
  • Manage incoming calls and emails and direct inquiries to appropriate resources;
  • Order office supplies;
  • Reserve classroom space as necessary for Fairfax Campus; and
  • Other administrative support duties as assigned.
Required Qualifications:
  • Ability to work a flexible schedule, including evenings and weekends as needed;
  • Superior communication skills, both spoken and written;
  • Excellent time management and problem-solving skills;
  • Ability to respond to tasks with a sense of urgency and to manage multiple projects and deadlines effectively;
  • Excellent organizational skills, detail-oriented and accuracy driven;
  • Demonstrated ability to work independently and collaboratively, follow direction, and take initiative;
  • Ability to work with people of diverse backgrounds;
  • Ability to perform duties with a high level of professionalism, flexibility, integrity, diplomacy, and tact; and
  • Proficiency in MS Office and willingness to learn new programs as needed.
