The role of the Coordinator of Internal Operations is to manage and assist with the daily operations of the internal operations and athletics equipment departments. Responsibilities include, but are not limited to, the oversight of the athletics facility asset management and tracking, assist with facility enhancements and capital project management as well as the oversight of ordering and distribution of athletic equipment and apparel for administrative and departmental staff, inventory control, oversight of letterman and post-season award ordering and inventory and spring sale oversight and administrative duties as necessary.

Essential Functions:

  • Day-to-Day Internal Operations Duties
    • Primary point of contact for Athletics Furniture, Fixtures and Equipment (FFE) ordering, managing inventory and fulfilling staff requests
    • Oversight of daily biometric facility access control
    • Saxon warehouse management and inventory of athletics storage materials
    • Asset management and tracking for capital and facility projects
    • Post-season awards committee member directly responsible for processing student-athlete post-season and letterman award forms
      • Responsible for ordering and processing approximately 500 student-athlete letterman awards per year
  • Day-to-Day Athletics Equipment Department Duties
    • Maintain inventory and manage ordering and distribution of equipment and apparel for athletics department administration and departmental employees, spirit and band
    • Order inventory for all letterman awards and serve as Varsity O liaison
    • Submit letter awards forms from coaches in ARMS and distribute once forms have been approved
    • Complete semi-annual and annual inventory reports for all sports and distribute Nike Elite account information to staff
    • Manage equipment sale operations, including set-up, break down, pricing, staffing and scheduling
  • Administrative Duties
    • Prepare agendas for weekly operations meetings and manage athletics project workflow (5%)
    • University President's office game day liaison
    • Reconcile travel receipts and manage daily calendar for the Executive Associate Athletics Director for Internal Operations, Facilities and Events

Required Education: High School Diploma or GED AND:

  • 12 months office, clerical, or administrative experience.

Skills:

  • Proficient in Microsoft Office
  • Highly organized and able to handle multiple projects and deadlines
  • Strong initiative to solve problems
  • Able to work well with interdepartmental teams and initiatives
  • Able to communicate well and build rapport quickly with current and prospective students, coaches and staff members
  • Effective oral and written communication, familiarity with computers, knowledge of computer software, ability to work independently and good organizational skills
  • Frequent exposure to pressure caused by deadlines and busy periods

Certifications:

  • None

Advertised Physical Requirements:

  • Must be able to climb, crouch, reach, stand, engage in repetitive motions, speak, including expressing oneself or exchanging information with others; see, including color, depth perception and clarity, and hear including receiving detailed information orally.

Departmental Preferences:

  • 24 months experience in collegiate or professional sport operations
  • Working knowledge of University, SEC and NCAA rules and regulations
  • Working knowledge of Nike Ordering System, Sport Soft Inventory System and ARMS Financial Software
