General Summary 

The Visitor Experience Manager serves a critical role in the daily operations of the Admissions Office at the Harper Center, including staffing the front desk and supporting the weekly execution of the Full-Time MBA Campus Visit Program and other on-campus events. This position is responsible for ensuring seamless and impactful engagements between Chicago Booth Admissions and prospective students, current students, staff, and other constituents. This role utilizes a working knowledge of Booth’s programs and admissions processes to serve as the primary representative of Admissions to campus visitors and general inquiries.

Principal Duties and Responsibilities

  • Manages the daily operations of the Harper Center Admissions Office, serving as the front desk manager and first point of contact for visitors. Supports the daily administrative functions of the office, including assessing office supply needs and managing the physical space.
  • Facilitates the campus visitor and candidate engagement experience through in-person, phone, and email contact. Responsible for evaluating and improving the guest experience based on feedback and insights.
  • Oversees the Admissions Office email inbox and relevant procedures. Provides excellent customer service when addressing general inquiries and ensuring responses are delivered in a timely manner. Responsible for maintaining a wide knowledge of Booth, school programs and resources, and the admissions process to answer prospective applicant questions, as well as knowledge of relevant department partners to redirect inquiries when appropriate.
  • Executes event logistics for the Campus Visit Program, admitted student weekends, as well as other virtual and in-person Admissions events. Supports the Student Recruitment & Admissions team with event planning and implementation (including printing name badges, preparing visitor materials, etc.)
  • Works with Admissions staff to support administrative needs, coordinate projects, and liaise with student volunteers and external staff as needed.
  • Performs other related work as needed.

Knowledge, Skills, and Experience 

  • Bachelor’s degree.
  • At least one year of progressively responsible administrative experience.
  • Background in higher education.
  • Learn and utilize University systems and Chicago Booth databases.
  • Proficiency with MS Office (Word, Excel, and PowerPoint) and Google applications (Drive, Docs, Sheets, Forms).
  • Proven organizational aptitude, attention to detail, and successful task and time management. 
  • Work independently with little supervision and possession of a self-motivated disposition.
  • Demonstrated ability to work effectively and diplomatically with colleagues, as well as with students, faculty, and external constituents through a multitude of communication methods (i.e., in person, email, phone).
  • This position is expected to work in the office.
