The Opportunity:
The Assistant Director of Integrated Enrollment Services serves as a backup to the director of IES to help ensure and provide oversight and supervision of the Integrated Enrollment Services (IES) unit at Unity Environmental University. This role ensures the efficient processing, automation, integrity, and timely accuracy of all data processed through IES. Reporting to the Director of IES, the Assistant Director provides leadership and performs essential functions related to institutional data collection, planning, assessment, and decision-making across multiple university units. Additionally, the Assistant Director works closely with the Transfer Evaluation Services (TES) Supervisor regarding workflow processing priorities and may serve as a back-up supervisor to the TES team in the absence of the Supervisor or Director of IES.
Day to day responsibilities:
The Assistant Director facilitates access to information within data systems to support university operations and monitors key institutional indicators. They serve as a Subject Matter Expert (SME) for Standard Operating Procedures (SOPs) regarding the operations of Unity Environmental University, the IES unit, and the IES Specialists. Additionally, they are responsible for maintaining the integrity of data released in reports or studies to support both institutional objectives and external compliance.
Location: Pineland Farms, New Gloucester, Maine
Just a half hour from Portland, Unity Environmental University Headquarters, Unity Environmental University Distance Education, The Technical School for Environmental Professions, and the School of Environmental Business & Sustainable Ventures are based at the Pineland Farms campus. The facilities are within easy access to one of the fastest-growing cities for startups in the country.
Work Schedule:
Work hours are specific to the requirements of this position and can include days, evenings, weekends. Working extended hours may be required as needed and Unity Environmental University employees must be flexible and cooperative in fulfilling their responsibilities while meeting the College's needs.
Although at Unity Environmental University Enterprise employees are generally scheduled to work at their base location, there are times when travel is necessary and employees are required from time to time to attend events, meetings or work temporary assignment at any Unity Environmental University location.
Physical Demands:
While performing the duties of this job, it is regularly required to sit and talk or hear. The employee is occasionally required to stand or walk. The employee must occasionally lift and/or move up to 20 lbs. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The use of either hand for repetitive movements such as grasping, grasping, and turning, and fine manipulation is required as is the ability to use the telephone for internal and external communications.

Additionally, they are responsible for maintaining the integrity of data released in reports or studies to support both institutional objectives and external compliance.
- Supervise the daily operations of IES, overseeing staff with staggered schedules and conducting regular staff meetings.
- Serve as a database expert for campus information systems including CRM, SIS, and donor software. Update and maintain these systems to ensure accurate data management.
- Work as a team lead solving issues concerning data and accounts processing as they arise and escalating issues to the Director when necessary.
- Support institutional research activities by collecting, analyzing, interpreting, and reporting data for decision-making purposes.
- Manage and support Account Engagement requests, campaigns, reporting and constituency role management in Salesforce
- Improve processes for collecting and inputting accurate data into SIS, CRM databases, and related systems in collaboration with data input areas across the institution.
- Serve as the primary point of contact between the Data Entry Specialists and the Director, as well as with other OE teams who have data proliferation and editing questions.
- Monitor the flow of incoming information and any backlog so that clearance processes may be developed and implemented.
- Observe workflow to meet deadlines and stay within service-level agreement parameters.
- Coordinates cross training of other IES staff members in the data handling processes.
- Ensure that all Data-related business processes are documented and current.
- Provide accurate, valid, and timely processing and maintenance of all applications.
- Perform data analysis of IES processing activities in collaboration with the Director.
- Serve as the data processing subject matter expert for one or more information systems, identifies process improvements, and develops procedures for implementation.
- Develop and document business processes for collecting and linking data from various sources to support institutional research.
- Participate in institutional meetings and task groups as assigned, and communicate effectively with university leadership on challenges and successes.
- Manage the Integrated Enrollment Services Catalog, ensuring updates are approved by the Director of IES.
- Oversee training and professional development needs of staff to maintain competence and enhance performance.
- Assist in identifying data elements necessary to support the Director's reporting needs.
- Bachelor's degree with at least 3 years of experience in customer service; Master's degree preferred.
- Supervisory skills required.
- Experience with complex administrative data systems required, Salesforce Marketing Cloud Account Engagement Specialist Certification preferred.
- Ability to communicate effectively and appropriately.
- Strong organizational skills.
- Proficiency with computerized database, word processing, email, and spreadsheet software.
- Ability to work harmoniously with members of the Institution.
- Ability to function effectively within organizational structures, maintain open lines of communication while being discreet, courteous, and well poised.
- Ability to demonstrate initiative, make sound decisions, budget time, focus on details, and complete tasks on time while functioning in multiple capacities.
