New York Institute of Technology College of Osteopathic Medicine seeks an Administrative Assistant for the Office of Academic Technologies, based on the Jonesboro, Arkansas campus.
Responsibilities:
- Answer telephone and route appropriately; greet department students, visitors and guests; liaison between students and department staff to answer questions and solve problems, as instructed; organize ATG office and storage space.
- Schedule and coordinate department calendar, meetings and special events, as needed.
- Requisition Purchase Orders in Oracle data system and receive, submit and follow up on invoices for payment; make purchases using a P-Card and reconcile monthly; assist Director and other office peers with reconciling their P-Card, as needed.
- Assist department Director and office peers with routine administrative duties.
- Assist with department budget preparation and maintain a shadow budget; monitor budget funds and provide budget updates to Director, as requested.
- Make travel arrangements for Director, staff and department visitors, as needed, providing an itinerary of travel details for each trip.
- Keep inventory and order supplies and promotional items.
- Create meeting agendas, take meeting notes, type minutes and distribute as instructed.
- Monitor Samanage system for IT work orders and route as necessary. \
- Perform other duties as assigned.
Qualifications:
- With a high school diploma as the highest level degree, 2-3 years of Administrative support experience required.
- With an associates' degree or higher as the highest level degree, 1-2 years of Administrative support experience required.
- Must have excellent interpersonal skills, good computer skills and solid administrative/organizational skills.
- Ability to multi-task in a fast-paced office environment.
- Ability to work independently and collaboratively and have good judgement.
- Computer literate - proficiency in Microsoft Office, ability to organize virtual meetings, ZOOM/Teams etc., and quickly learn new systems/software packages.
