Admissions Programs Manager

Position Summary

The Program Manager is accountable for the successful planning and execution of Enrollment Management sponsored summer programs for high school students. This role also functions as the campus logistical coordinator for all educational and research programs hosted on campus during the summer months. Additionally, the incumbent will be support the strategic planning and execution of selected recruitment events, operating under the guidance of the Director of Admissions.

Essential Duties and Responsibilities

Summer Programs
  • Develop a comprehensive vision for summer programs that aligns with the institution's strategic goals and encompasses curriculum development, co-curricular activity planning, and course offerings.
  • Builds and maintains strategic partnerships with external organizations to expand and strengthen program offerings.
  • Oversee the recruitment, hiring, training, and performance management of summer program staff, ensuring they are equipped to deliver exceptional programs.
  • Develop and manage a robust budget for summer programs, ensuring fiscal responsibility and optimizing resource allocation.
  • Develop and implement a compelling marketing strategy to attract top-tier students to summer programs and enhance the institution's brand reputation.
  • Oversee targeted recruitment efforts, including social media campaigns, high school outreach, and online presence, to achieve enrollment goals.
  • Works with Director of Enrollment Management Systems to manage the annual application updates and application file review process
  • Collaborate with other campus departments, program vendors, and external stakeholders to ensure seamless program delivery and maximize student success.
  • Provide regular reports and insights to the Director of Admissions, highlighting key performance indicators and recommending data-driven initiatives.
Campus Summer Programs Liaison
  • Oversee the selection and support of a diverse portfolio of campus summer programs, ensuring they meet high standards of quality.
  • Serve as the primary point of contact for all summer programs, coordinating with relevant campus departments to ensure seamless program delivery ( Housing, STS, Facilities, Housekeeping, Dining Services, Health Services, Budget & Contracts)
  • Identify and implement best practices for managing summer programs, including policies, procedures, and guidelines.
  • Develop and implement strategies to mitigate risks associated with summer program operations, such as safety, compliance, and financial matters.
  • Ensure efficient allocation of resources, including facilities, staffing, and funding, to support summer program
Special Admissions Projects
  • Partner with Director of Admissions and Associate Director of Admissions on the planning, coordination, and execution of a variety of campus programs and special events designed to attract prospective students and their families.
  • Cultivate strong and collaborative relationships with a network of event vendors, ensuring they understand the institution's goals and can deliver high-quality services.
  • Negotiate favorable terms and conditions for event services, balancing cost-effectiveness with quality standards.
  • Regularly assess vendor performance to ensure they meet expectations and identify opportunities for improvement.
  • Take ownership of special projects assigned by the Director, demonstrating strong project management skills and ability to deliver results.

Required Qualifications

Bachelor's degree required and 3 years of related administrative work experience.

This position requires exceptional project management skills, along with medium to advanced technical and data management proficiency. This position requires excellent interpersonal, customer service, organizational skills and record keeping techniques. Must have demonstrated experience in implementing programs, workshops and strong organizational skills with strong emphasis to detail and follow up on assignments. Must be assertive and be able to work independently while meeting the goals of the office. It is necessary to have the capacity to work in a fast pace, high-stakes environment. The incumbent must possess the ability to prioritize effectively, maintain confidentiality, handle matters with tact and diplomacy, interact in a diverse community, manage details, multi-task, and adapt to changing situations, with a strong ability to see projects through completion.

To perform this job successfully, an individual must have intermediate skills using Microsoft Office Suite, including the preparation of mail merges, flyers, and spreadsheets. Using formulas and creating forms are also important. Incumbent must have excellent typing skills.

Strong oral and written communication skills are important, as this position will regularly interact with and communicate ideas with other members of the division, the Spelman community at large, and the general public in the execution of responsibilities.

Physical Demands

While performing the duties of this job, the employee is regularly required to: sit, walk, use hands to handle office supplies, operate computer and other office equipment, talk, and hear. The employee is frequently required to: stand, reach with hands and arms and occasionally required to stoop and move up to 15 pounds. Specific vision abilities required by this job include the ability to adjust focus.
