Position Highlights

The Graduate Interdisciplinary Programs Administration is seeking to hire a Program Coordinator for the Arizona Biological and Biomedical Sciences (ABBS) Program. The responsibility of this position is to ensure all ABBS program goals and objectives are accomplished which include but are not limited to, coordination of all graduate support functions including recruitment, admissions, financial assistance, enrollment and placement into a degree granting program.

Duties & Responsibilities

Recruitment:

  • Coordinate ABBS graduate recruitment/ interview weekends among 12 participating programs and their program coordinators.
  • Travel to attend national undergraduate biomedical research conference to recruit program participants; develop contacts with faculty and multicultural programs at the UA and elsewhere; make presentations to individuals and groups of students interested in graduate school in the biomedical sciences area.
  • Provide extensive follow-up with prospective and participating doctoral students, including tracking of current and former program participants, advising, and maintaining appropriate student and program records.
  • Provide extensive follow-up with prospective students including answering emails, explaining the application process, and connecting them with faculty, if necessary.
  • Work with Graduate College Admissions to ensure program faculty and the ABBS executive committee membersare able to review applications for discussions on decisions in GradApp.

Financial Management:

In conjunction with the ABBS Director, coordinate all administrative aspects of the ABBS program operations and finances, including operations and recruitment budget, GA hiring/offer letters, recruiting travel, purchasing, processing travel documents, graduate student support, and student activities.

These duties include:

  • Coordination of all student financial support, including the process of hiring graduate assistant and associate hiring, and ensuring that students meet program and Graduate College eligibility requirements.
  • Budget and plan program events.
    Assist with the preparation of financial reports as necessary.

    Complete various administrative documents including expense and travel arrangements, reimbursements for program-related participants and other program expenses.

Administration, Program assessment, record keeping, and planning:

  • Coordinate admissions with Graduate College Admissions specialists.
  • Administer program goals and objectives as approved by the ABBS bylaws.
  • Serve as a liaison between the ABBS Executive Committee, students, faculty, other UA Departments and various outside agencies.
  • Collect and analyze program data
  • Prepare periodic reports and correspondence on program activities and achievements to the ABBS director and Executive Committee, Graduate College administration, and outside agencies.
  • Develop, compile and write communications and promotional literature for distribution, such as flyers.
  • Maintain the program website.
  • Schedule, attend and participate in monthly ABBS Executive Committee meetings.

Academic advising of students:

  • Advise students on Graduate College and program requirements, and assist in their course enrollment in collaboration with the Director and co-Director(s).
  • Organize, attend, and oversee all orientation activities for matriculating students
  • Attend the once-weekly ABBS Forum class and assist the ABBS co-director with class operations and activities
  • Provide extensive follow-up with participating doctoral students, including tracking of current and former program participants, advising, and maintaining appropriate student and program records.
  • Ensure graduate student compliance with Graduate College policies and procedures.
  • Work with rotation mentors, the ABBS Program Director, and ABBS co-Director(s) to assist students with any concerns and issues that arise.

Minimum Qualifications

  • Bachelor's
    degree or equivalent advanced learning attained through professional level
    experience required.
  • Minimum of 3 years of relevant work experience,
    or equivalent combination of education and work experience.

Preferred Qualifications

  • Experience with UAccess Student and UAccess Financials.
  • Experience with Microsoft Office.
  • Experience with Website maintenance; Drupal.
  • Experience with applicable UA information processing systems (PCard and UAccess) will be considered a strength.
