Position Highlights

University Animal Care at the University of Arizona is in search of a Purchasing Coordinator. The Purchasing Coordinator will build strong working relationships with vendors and staff to ensure the timely procurement of goods and services needed for the daily operations of the department in accordance with prescribed purchasing regulations and procedures governing animal research and UA policies. Focus on customer service and vendor relations will be key to maintaining smooth day-to-day operations. The incumbent will use an inventory management system to track the entire procurement life cycle for non-animal items for the unit; ensuring feed, bedding and supply levels necessary to maintain operations and ensure levels are sufficient to meet regulatory, accreditation and emergency standards.

University Animal Care (UAC) manages multiple centralized animal facilities at the University of Arizona and oversees the campus wide animal care and use program. UAC provides assistance to scientists, physicians, staff, and students who have received Institutional Animal Care and Use Committee (IACUC) approval to perform research, testing, or educational studies on animal subjects. UAC ensures humane and appropriate animal care and use by providing for the animals daily needs, veterinary care, and monitoring the use of the animals by principal investigators, technical personnel, and students. UAC maintains accreditation by AAALAC International, the gold standard for animal care and use programs.

Duties & Responsibilities

Duties & responsibilities:

* Purchase feed, bedding, medication, equipment, PPE, and other supplies for department operations

* Using order reports and working with facility managers at multiple locations to forecast supply needs

* Track orders from placement to delivery

* Coordinate with the Materials Handler for receiving, daily inventory and distribution of supplies

* Research, evaluate and identify suppliers to ensure they meet department and university price, quality and reliability standards

* Purchase drugs and supplies requiring veterinary approval for department customers

* Prepare financial documents needed before and after procurement

* Ensure that all proper documentation is provided to the business office for payment and reconciliation purposes

* Responsible for appropriate record keeping following department and university requirements

* Establish and maintain an order and inventory management system

* Research, evaluate and identify vendors for capital equipment needs and work with the vendor(s) and PACS to get equipment ordered- Confers with unit and vendor regarding the specifications, timing and delivery of all equipment

* Act as main contact for all non-animal vendors

* Backup other positions in the procurement unit as needed

* Additional duties may be assigned.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through professional level experience is required and a minimum of 3 years of relevant work experience is required.

Preferred Qualifications

  • Prior experience in purchasing and inventory management
  • Experience with cost accounting coding
  • Exerience with university financial systems
