The Opportunity:

The Guest Experience Coordinator is a full-time position for Unity College's 150-acre Sky Lodge campus tucked into Maine's northwest timber country in Moose River, Maine. The Guest Experience Coordinator will ensure the lodge and restaurant are run efficiently, professionally, and profitably by overseeing the activities associated with the overall guest experience including but not limited to reservations, guest amenities, as well as food and beverage service. As a disruptor of the status quo, the Guest Experience Coordinator will envision new possibilities for the outdoor adventure traveler and for those who travel with purpose. The Sky Lodge campus includes a historic log-cabin lodge with 12 guest rooms and a 50-seat dining room, along with a welcome center, six cabin homes available for rent by the public, an educational facility enjoyed by the local community, and onsite Nordic ski and snowmobile trails.

Within the framework of functional leadership, the Guest Experience Manager supports and is supported by other members of the Environmental Business and Sustainable Ventures team while working with all constituencies to realize the Unity Environmental University Mission and Strategic Plan.

Day to day responsibilities:
  • Creates unique memorial experiences for our guests.
  • Assists the director in managing budgets for revenue and expenses.
  • Manages the front desk, restaurant, catered events, and guest amenities to ensure a smooth operation and the highest level of guest satisfaction.
  • Maintains good customer relations by keeping abreast of all lodge and area functions in order to answer questions and concerns with timely and knowledgeable responses, in person, on telephone, and via digital tools.
  • Maintains a friendly, cheerful and courteous demeanor at all times.
  • Trains employees regarding lodge and procedures and menu items in the bar, restaurant, and outdoor experience center.
  • Identifies opportunities to enhance the individual guest experience and coordinates with the Director to develop and standardize implementation.
  • Drives revenue through ancillary services.
  • Empower team and self to handle difficult guest situations and guest challenges while maintaining a high level of customer satisfaction and quality.
  • Liaison with housekeeping and facilities to ensure all rooms and spaces are clean, tidy, and fully furnished to accommodate guests' needs.
  • Communicates with facilities manager to bring repairs and maintenance needs to their attention as identified during routine and seasonal cleaning.
  • Manages the standard procedures for cash transactions and reconciles all monies collected daily.
  • Represents Unity College to the broader community, especially as related to Sky Lodge, the Sky Lodge area community, guests, business partners, and educational partners.
  • Manage the events calendar for the Sky Lodge campus, including the Moose River Valley Community Center.
  • Coordinates venue rentals and catered events in conjunction with the Director, communicating details with all departments for a seamless event experience.
  • Provide prompt and accurate responses to all requests for proposals and information related to venue rental, catering, and other events from internal and external stakeholders.
  • Ensure that all programming runs as planned.
  • Maintain signed agreements, invoices, and keep records of all communications in writing.
  • Pro-actively communicate challenges, successes, and failures
  • Works with the Director on strategic implementation around creating efficiencies.
  • Works with Director to ensure all guest communication is updated regularly to match branding and enhance the guest experience, included but not limited to social media, online travel agents, industry travel partners, and newsletters.
  • Assist the Director in order to attract, retain and motivate the employees; interview, hire, train, develop, empower, coach and counsel, resolve problems, and provide open communication, as appropriate.
  • Answers questions from employees and guests about Unity College: Sky Lodge policies and services.
  • As needed, provides after-hours coverage for all guests needs.
  • Maintain confidentiality of guest and proprietary information, protecting company assets.

  • Works hours as assigned including but not limited to nights, early mornings, weekends, and holidays.

Do you have the skills?
  • High school diploma
  • 1 - 3 years' hospitality, food service management, or retail experience.
  • An entrepreneurial mindset and revenue-focused attitude.
  • Serve Safe certification, TIPS, and allergen awareness completed upon hire.
  • Ability to juggle multiple tasks & projects with superb accuracy in a fast-paced environment.
  • Ability to look for, suggest, and implement improved efficiencies.
  • Implements a hands-on approach to effectively manage the quality of daily operations.
  • Ability to work as part of a team or independently as needed.
  • Ability to read and interpret documents such as safety rules, safety data sheets, operating and maintenance instructions, and procedure manuals.
  • Must possess a positive attitude.
  • Excellent organizational and time management skills.
  • Must be willing to participate in a learning environment.
  • Must integrate Unity College values throughout all interactions.
  • Ensures compliance with established Unity College: Sky Lodge policies & procedures.
  • Demonstrates leadership and a professional image to all guests, staff, and other members of the College.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Knowledge of computerized maintenance management information system
  • Valid driver's license with good driving record.
  • Ability to function effectively within a matrix organizational structure, maintaining open lines of communication while being discreet, courteous and well poised.

Preferred skills:
  • Bachelor's degree or higher from an accredited college/university with major coursework in facility management, hospitality management, business management, marketing, or related field
  • 3 - 5 years' hospitality experience and food service management.
  • Experience with food production, educational programming, social events, and internships and/or apprenticeships.
  • Familiarity with hotel operating systems and software.
  • Knowledge of the French Language (business proficiency)

Just a half hour from Portland, Unity Environmental University Headquarters, Unity Environmental University Distance Education, The Technical School for Environmental Professions, and the School of Environmental Business & Sustainable Ventures are based at the Pineland Farms campus. The facilities are within easy access to one of the fastest-growing cities for startups in the country.

Work Schedule:

Work hours are specific to the requirements of this position and can include days, evenings, weekends. Working extended hours may be required as needed and Unity Environmental University employees must be flexible and cooperative in fulfilling their responsibilities while meeting the Colleges needs.

Although At Unity Environmental University Enterprise employees are generally scheduled to work at their base location, there are times when travel is necessary and employees are required from time to time to attend events, meetings or work temporary assignment at any At Unity Environmental University location.

Physical Demands:

While performing the duties of this job, it is regularly required to sit and talk or hear. The employee is occasionally required to stand or walk. The employee must occasionally lift and/or move up to 20 lbs. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The use of either hand for repetitive movements such as grasping, grasping, and turning, and fine manipulation is required as is the ability to use the telephone for internal and external communications.
