Description

Governors State University is seeking to hire an Admissions and Records Representative for the Registrar's office. The objective of this position is to provide information in a courteous and professional manner providing excellent customer service. This position has daily interaction with students, alumni, university Staff and external agencies providing information regarding all aspects of the services provided by the Registrar's Office.

Essential Responsibilities

45%
* Perform data input necessary to aid students with registration and demographic changes.
* Analyze incoming documents for completeness.
* Data entry of verification documents received from students or university personnel in integrated student database.
* Maintain student records and request additional information from students or other university personnel that is required.
* Assist with preparation of verification documents for students and alumni. Gather and collect data for student files for the Assistant Registrar.
* Notify students of changes in registration status.
* Prepare statistical reports tracking reception traffic, incoming calls, and incoming documents. Assist the Assistant Registrar with individual student files to perform verifications.

35%
* Perform intake duties for all walk-ins and telephone assistance.
* Answer inquiries from students to explain the details of the registration process.
* Advise prospective students, current students, and alumni, in person and/or by telephone in a factual, courteous, and professional manner.
* Respond to all inquiries via email/phone messages, research answer if necessary
and respond within 48 hours; composing correspondence to the student if necessary.
* Provide clarification on registrar and university policies in person or in writing. Disseminate incoming documents and deliver to the appropriate personnel.
* Perform assignments in a confidential and professional manner.
* Analyzes problems and processes and is proactive in suggesting ways and means to develop better procedures and more appropriate policies.
* Resolve student issues referred using judgement to ensure customer satisfaction. Refer customer complaints/problems to the appropriate manager if unable to resolve.

* Develop and maintains liaison with other university department to assist students.
* Represent Registrar Office at Registration Events.
* Assist with Registrar Office presentations to prospective and new students.
* Manages the following processes: grade change requests, change of address, returned mail, missing student information, and transcript process.
* Scans forms to desk and route them to the appropriate staff member for processing. Assist with immunization records processing.
* Assist with data collection for reporting.
* Develop and maintain liaison with other university departments to assist students. Provide back support to Client Relations Representative I.
* Other related duties as assigned (i.e., Commencement).

Hourly Rate: $16.70.
(This is a negotiated position).

Required and Preferred Qualifications

Minimum Qualifications:
1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years from the categories below:
A.Course work in any discipline as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year
  • 60 semester hours or an Associate's degree equals eighteen (18) months
  • 90 semester hours equals two (2) years
B. Work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Preferred Qualification:
* Experience with Ellucian Colleague
* Experience with Lexmark (formerly Perceptive/Image Now)
* Knowledge of Family Educational Rights and Privacy Act (FERPA) as it relates to the release of records.
* Excellent customer service skills.
