Position Highlights

The College of Medicine - Phoenix is seeking a bright and ambitious Accounting Assistant IV with credentials in accounting and/or finance. This position works closely with Directors of Operations and budgeting personnel in managing day-to-day transactions, financial/data analysis and financial compliance to allow for operating decisions to be made in the college departments. As an integral member of the centralized campus finance team, the selected candidate will report to the Accounting Manager and perform professional accounting activities in a complex, evolving and fast-paced environment. This position will work independently and requires expert knowledge and professional application of fund accounting principles, practices and techniques in accordance with the policies and procedures of the UA and UA Foundation. The candidate will be responsible for assisting departments with appropriate expenditure management, inquiries related to document processing and procedures, and providing professional accounting support. Professional demeanor, customer service, and teamwork are required for this position while maintaining sensitivity with confidential information. The incumbent must have the ability to effectively assess and respond to customer needs, pay close attention to detail, and be flexible and adaptable.

Duties & Responsibilities

Customer Service and Communication:

  • Serve as PCard liaison and reconciler for UA College of Medicine Phoenix campus. Process and submit new PCard applications. Provide PCard training for all new card holders and ongoing support to existing cardholders. Advise university staff on University PCard policies and compliance. Ensures all funding sources for PCard charges are entered and coded correctly following department budgets.
  • Provide professional routine technical advice and service to other campus employees about university policies and procedures.
  • Maintain professional contact with department personnel, account representatives or other appropriate personnel regularly to resolve PCard related issues, seeking assistance from supervisor about matters that cannot be resolved.

Financial Activities:

  • Prepare and process financial transactions including General Error Corrections, Distribution of Income, Requisitions, Purchase Orders, Expense reimbursements, Travel Reimbursements, Inter-departmental Billings, Checks/Cash Receipts.
  • Initiate financial and personnel transactions in web-based university systems.
  • Use internal A/R system to invoice for services provided to internal and external organizations. Create a cash check log with incoming checks, record check deposits and create invoicing.
  • Create vendor profiles, maintain, and update as needed.

Additional duties as assigned, which can include, but are not limited to:

  • Time Sheet Exception Reporter
  • Copier Papercut Billing
  • Submit Bursar Account Payments
  • Submit UAccess Employee Payment Requests

Knowledge, Skills, and Abilities:

  • Knowledge of corporate or government credit card reconciliation and compliance
  • Knowledge with electronic accounting and budgeting software.
  • Ability to communicate effectively with different groups/individuals

Minimum Qualifications

  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of seven (7) years of relevant experience, or equivalent combination of education and work experience.

Preferred Qualifications

* Bachelor's degree in accounting or related field of study.

* Demonstrated experience in expense reconciliation.

* Experience in higher education or government finance.

Notice of Availability of the Annual Security and Fire Safety Report

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.
