Student Life Operations Specialist

The Student Life Operation Specialist provides clerical and programmatic support to Student Life. Provides operational support for the Vice President for Student Life and Dean of Students, Associate Dean of Students for Student Development and Assistant to the Vice President for Student Life and Dean of Students for major Student Life events: New Student Orientation, Open Houses, Family Weekend, Accepted Student Day (ASD), Commencement and other campus visit days/special events. Serves as receptionist in the Student Life/Student Services area. The Specialist will respond to phone, email and in-person requests, including coordinating inquiries and requests for information from students, faculty, staff, parents and community members between the Office of Student Life and other Student Support Services Offices. This position has regular contact with students, parents, faculty, administration and community members. The incumbent will manage Student Life Graphic Design projects, including, but not limited to basic layouts, print production, web marketing and design of flyers, Online New Student Orientation and Student Handbook.

DUTIES AND RESPONSIBILITIES:

· Provides overall administrative support to the Vice President for Student Life and Dean of Students, Associate Dean of Students for Student Development and Assistant to the Vice President for Student Life and Dean of Students.

· Greets office visitors and answers telephones; checks voicemail and returns calls; answers routine questions and provides general information upon request; routes calls and/or takes messages. Refers all questions and requests of a non-general nature to the appropriate office. Serves as main information resource for suite of departments, providing administrative support to several offices and employees.

· Provides operational support for the Vice President for Student Life and Dean of Students, Associate Dean of Students for Student Development and Assistant to the Vice President for Student Life and Dean of Students for major Student Life events: New Student Orientation, Open Houses, Family Weekend, Accepted Students Day (ASD), Commencement and other campus visit days/special events. Attends these events to help with set-up and take-down as requested.

· Using approved Design Center Guidelines, edits/designs, coordinates, and provides graphic concepts for the Student Life Department’s Visual communication materials, events, and programmatic needs.

· Schedules appointments for various offices as needed.

· Aides the Assistant to the Vice President for Student Life and Dean of Students in monitoring the Student Life Conference Room, Scott Plaza, Diane Roskamp Exhibition Hall, Outtakes Lounge and Cunniffe Commons Meeting Room Calendars.

· Schedules room locations for meetings and events and assists with various event set-up and checking rooms for readiness as requested by Student Life staff.

· Performs clerical duties including, but not limited to, filing, typing, copying, mailing, faxing/scanning documents and responding to e-mail messages in a timely fashion.

· Arranges for and coordinates catering for special meetings and groups.

· Updates brochures and other informational documents.

· Assists with the ordering, stocking and organizing of office supplies.

· Picks up and delivers office mail daily.

· Oversees the collection, hanging, and take-down of student work for various shows and art sales.

· Oversees the approvals of flyers and other items for campus postings. Coordinates process for daily take-down of old advertising/postings.

· Submits IT tickets when there are issues with the Student Life printers.

· Performs other duties and assists with projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES

· Ability to complete job duties, projects and assignments with minimal supervision in a timely manner.

· Must possess a high level of interpersonal and human relations skills; ability to interact appropriately with a wide variety of personality types.

· Must possess the ability to maintain composure under pressure from multiple demands and critical situations.

· Excellent organizational skills to manage multiple tasks at once.

· Ability to communicate effectively, both orally and in writing using proper English grammar

· Demonstrated ability to maintain confidentiality and use good judgment.

· Knowledge of modern office practices, policies and procedures, including typing, filing, copying and telephone etiquette.

· Ability to recreate flat images into vector files; layout text and imagery for posters, t-shirts and other design jobs.

· Ability to communicate with Design Center and print companies to ensure design standards and deadlines are met.

· Ability to work regular established hours of operation and additional hours as business necessitates (evenings and weekends).

· Ability to assist with the set-up and take-down for events to include moving items such as boxes, signs and other items to various on-campus locations and off-campus if an event is scheduled off-site.

EDUCATION AND EXPERIENCE:

Minimum:

· High school diploma or equivalent.

· Three years of experience in an office environment.

· Proficient in Microsoft Office Suite (Excel, Word), e-mail and data entry skills.

· Proficient in Adobe and CANVA.

· Knowledge of and ability to use social media technologies and understanding of its language including Facebook, Instagram, Twitter, posts, links, Google and YouTube.

Preferred

· Advanced higher education degree.

· Familiarity with both Macintosh and PC.

· Experience working within higher education.

· Interest in the art and design higher education learning environment.

· Basic knowledge of HTML and CSS.
