Position Summary:

Under the direction of the Associate Director of Events & Visits, the Coordinator of Campus Visits & Tours primary function is to facilitate an authentic, engaging, and impactful visit experience for prospective students, families/support persons, schools, organizations, campus partners, and other guests.

The Coordinator of Campus Visits & Tours plays a multifaceted role in ensuring an exceptional experience. They oversee all aspects of implementation of the campus tour program and experience, from scheduling to execution, and provide exemplary customer service to diverse stakeholders. Additionally, they coordinate and implement supplemental academic programming and tours in collaboration with college partners. The Coordinator maintains a varied array of visit offerings, identifies opportunities for improvement through observation and feedback, and communicates effectively with campus partners to address needs and feedback. They leverage technology (Slate CRM) to improve campus visit registrations, communications, and ensure data accuracy.

Moreover, they manage the operations of the Admissions Office front desk in the Campus Commons prioritizing support for student ambassadors, maintenance of the physical space, management of daily tasks, and the visitor experience. The Coordinator also assists with student ambassador activities, ensuring adequate coverage for various events and executing administrative tasks. They oversee the campus tour certification process and supervise the Tour Advisory Committee. In addition to these duties, the Coordinator may coordinate with other departments, deliver presentations, and provide general support within the Office of Admissions.

Job Duties:

Campus Visit and Tour Experience (45%)

  • Oversees the scheduling, promotion, and execution of the campus tour program. Provide the highest level of extra-mile customer service to prospective students, their families, school officials, community partners, and campus partners.
  • Coordination and implementation of supplemental programming and tours collaboratively developed in conjunction with college partners and key stakeholders (i.e. academic add-ons, department tours, football Saturdays, admitted student meet-ups, etc.)
  • Maintains an active array of visit offerings to support and engage prospective students and their support people. Timely launches visit registrations, monitors capacity and availability, proactively initiates expansion or removal of visit dates, and communicates with the Associate Director of Events & Visits when changes to the schedule of visits are necessary.
  • Proactively identifies opportunities for improvement to the campus visit and tour experience via observation, visit surveys, and team member feedback.
  • Monitors the visit website and submits requests for updates to the Admissions Marketing and Communications team.
  • Coordination and scheduling of all group visit requests. Daily oversight of the the group visits inbox and provides timely communication with inquiring parties. Establishes a system to effectively track and elevate awareness of upcoming group visits, post-visit notes and reflections, and contact lists of schools or organizations.
  • Responsible for the content and documentation regarding the tour experience for all visitor types. Annually reviews tour procedures, practices, and routes to ensure we are offering the very best campus visit experience possible.
  • Communicates critical information with guests and key campus partners related to the campus visit and tour such as university closures and delays, campus parking, residence hall access keys, Saturday and special visit building access, bookstore hours, etc.
  • Reviews and assess feedback from campus partners related to tour content and overall campus visit experience. Discerns if feedback need to be shared with that team and if any changes to the tour content or route need to be altered.
  • Facilitates tram tour training and certification. Conducts frequent maintenance checks and requests service, if needed. Maintains the safety and cleanliness of the trams and tram storage.

Campus Commons & Welcome Desk Operations (25%)

  • Oversees operations of the Admissions Office front desk and manage Admissions Office public space to reflect a clean, welcoming, and inclusive environment. Submit timely requests to campus facilities about maintenance and grounds needs.
  • Supports Student Ambassadors in critical thinking and day-to-day decision-making.
  • Maintains and inventories the stock of materials available to campus visitors such as campus maps, check-in materials, brochure racks, etc.
  • Coordinates and ensures the Campus Commons welcome desk staff and work in partnership with Associate Director of Recruitment to ensure counselor on duty and group visit calendar assignments are established and maintained.
  • Conveys a level of pride surrounding the customer service and check-in experience provided at the Admissions welcome desk. Proactively establishes and maintains a customer service standard that reflects the Office of Admission's Service Values and overall University Mission and Purpose.
  • Establishes and maintains a comprehensive Welcome Desk Manual the outlines day-to-day procedures, customers service expectations, check-in procedures, data integrity, and overall responsibility of a front desk shift. Communicates important information, updates, and changes to the front desk staff so they are aware of expectations at all times.
  • Leverages the front desk student team to assist with productive and stationary tasks such as preparing materials, data entry, swag request distribution, etc.

Student Ambassador Management (25%)

  • Assist with the coordination and execution of activities related to the Student Ambassador team including, but not limited to hiring, onboarding, recognition events, team meetings, and scheduling.
  • Mentorship and coaching of daily tasks and accountability for completion of assignments.
  • Ensures adequate coverage for the welcome desk, daily campus tours, Spanish-speaking tours, group tours, and special requests based on needs and registration totals. Gives thoughtful consideration to ambassador selection as it relates to the needs of the request and how we can best serve our campus community.
  • Executes administrative tasks related to the Student Ambassador program such as shift scheduling, approving timecards, and other duties as assigned.
  • Responsible for elevating student personnel issues to the Associate Director of Events & Visits.
  • Oversees the campus tour certification process in aspects of scheduling, evaluation, and celebration.
  • Supervises the Tour Advisory Committee (TAC) and provides them with opportunities for participation in improving the campus visit and tour experience.

Other Responsibilities (5%)

Other duties and responsibilities will be assigned as appropriate and may include, but are not limited to:

  • Coordinates with the Associate Directors of Visits & Events and Marketing & Communications to manage the edits, updates, and requests of the digital welcome screen.
  • Delivering presentations and information sessions to students, families, community members, and campus constituents.
  • Providing support for day-to-day operations as part of the Office of Admissions, including assisting at the Admissions Office front desk when needed.
  • Other duties as assigned.

Minimum Qualifications:

Education:
A Bachelor's degree is required.

Experience:
Required Job Qualifications:

  • At least one year of direct experience providing outstanding customer service to a diverse population/audience.
  • Demonstrated ability to communicate clearly and effectively in written and verbal form
  • Ability to learn new technologies and content quickly and efficiently
  • Experience managing a team to accomplish shared goals (student employment experience will be considered)
  • Demonstrated commitment to principles of diversity, equity, and inclusion.
  • Must be available and willing to work night and weekend hours as needed

Preferred Job Qualifications:

  • Master's degree preferred
  • Previous professional experience managing daily visit operations on a college campus or working in an Office of Admissions
  • Prior experience managing student employees
  • Proven experience mentoring high school or college students (experience gained while working as a college student will be considered.)
  • Experience in working with and serving the needs of underrepresented students and communities
  • Ability to speak, read, and write fluently in Spanish

Certification/Registration/Licensing:
Must have a valid driver's license or the ability to obtain a driver's license by the employment start date.

Ability:
Computer skills are required.
