Job Description

The Office of Admissions and Recruitment at the School of Medicine is seeking an Admissions Coordinator to assist and support its recruitment efforts. Primary responsibilities include; 1) Coordinating logistics for all School of Medicine prospective and admitted student events. 2) Effectively communicating general program information and admissions requirements to interested applicants through individual meetings, virtual sessions, and group presentations. 3) Executing recruitment initiatives designed to increase the diversity of students that apply to School of Medicine's programs.

Characteristic Duties Detailed:

Recruitment (50%)
  • Utilizing expert time management and organizational skills, delivers and implements logistics for recruitment events and visits.
  • Executes all planning considerations for a variety of recruitment events (in-person, virtual, on and off campus, individual visits, large group sessions).
  • Requests and reserves rooms for events that require an on-campus meeting space.
  • Prepares and tracks event registration using Slate CRM system; integrates these functions into weekly duties.
  • Establishes a system for providing timely communication with prospective students leading up to recruitment events such as sharing directions, sending parking passes, and ensuring accommodations are in place on an as needed basis.
  • Communicates all visit event details with School of Medicine Student Ambassadors and solicits help for events needing tour guides and/or current student representation.
  • Provides support to Assistant Manager with all visit events.
  • Manages guest registration, check-in, and welcome for all events held at the School of Medicine.
  • Assumes primary recruiter role by providing coverage for program presentations when scheduled events may overlap in different locations.
  • Collaborates with admissions offices in the Schools of Pharmacy, Nursing, and Dentistry, and the General Office of Admissions at UMKC to coordinate efforts and initiatives.
  • Tracks inventory and coordinates ordering of marketing and promotional materials.
  • Develops effective recruiting strategies focusing specifically on the recruitment of students from the State of Missouri.
Admissions Processing (30%):
  • Coordinates and assists with the daily operation of the admissions application processes for School of Medicine programs, adhering to the holistic review process.
  • Provides initial evaluations of application materials for BA/MD, MD, PA, and MSA programs.
  • Assesses strength of application materials like personal statements, healthcare experiences, extracurricular activities, letters of reference in context of applicant pool.
  • Uses application databases to set goals and process evaluations in a timely manner.
  • Develops effective processes to process student applications effectively and efficiently.
  • Reviews transcripts to confirm prerequisites have been completed.
  • Verifies final pre-matriculation requirements are met for all admitted students.
  • At the conclusion of each program cycle, confirm that students have met all requirements to successfully matriculate into desired program (i.e. completed background checks, submitted final documents, paid confirmation fees, etc.)
  • Supports the department during program interviews. Duties include interviewing candidates, communicating with interviewers, and offering support for rescheduling needs.
Other Office of Admissions and Recruitment Tasks (20%)
  • Performs transcript evaluations to determine admissions eligibility.
  • Maintains and updates approved prerequisite course lists for PA, MSA, and MD on School of Medicine website.
  • Promptly responds to phone calls and emails inquiring about School of Medicine programs and admissions processes.
  • Maintains the accuracy and confidentiality of applicant files.
  • Advises admissions applicants throughout application cycle and provides counsel for rejected applicants.
  • Provides professional staff support to departmental and/or school admissions committees and related committees on an as needed basis.
  • Interfaces with various campus officials concerning student admissions.
  • Completes special projects as assigned.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

*          A Master's degree in Higher Education, one of the above fields, or a related field is preferred.

*          Six months to one year experience in Admissions or Higher Education is preferred.

Anticipated Hiring Range

$19.50 - $20.67 per hour, commensurate with experience, education, and internal equity.
