Job Description


GME Office Program Coordinator

  • Serve as an interim program coordinator when needed / Float for programs when a coordinator leaves or is out for extended periods of time.

  • Assist individual programs with daily coordinator responsibilities

  • Ensure MedHub activities are up to date

  • Oversee the creation and renewal of Program Letters of Agreement and Affiliation Agreements for all departments/


  • Responsible for maintenance of SoonerTrack system

  • Oversee the process of onboarding visiting residents for all programs

  • Support the DIO in tracking and updating GME Policies and Procedures

  • Ensure Resident Handbook has updated policies and procedures

  • Compile and Report Work Hours to GME Director

  • Schedule and Assist with Planning of GME Grand Rounds

  • Create and maintain calendar invites for GMEC and PD Meetings

  • Assist the Director of GME with compiling and creating reports for Program Special Reviews

  • Support the Director of GME with planning and coordinating the new resident/fellow orientations

  • Order Completion Certificates

  • Assist with planning resident/fellow events and coordinator events sponsored by GME Office

Job Requirements



Required Education: Associate's Degree in Business Administration, Public Health or related field, AND:

  • - Required: 12 months of responsible administrative experience.

Equivalency/Substitution: Will accept 24 months of related experience in lieu of Associate's Degree, for a total of 36 months experience.

Working Conditions:

  • Physical: Sit for prolonged periods. Communicate effectively and listen. Use of a computer.

  • Environmental: Standard Office Environment.

Knowledge, Skills & Abilities:

  • Basic knowledge of institutional program requirements.

  • Ability to quickly learn and apply RRC common and specialty program requirements.

  • Ability to quickly learn and operate MedHub Residency Management System.

  • Must be detail oriented.

  • Ability to prioritize and multitask.

  • Excellent verbal and written communication skills.

  • Excellent interpersonal skills with a collaborative work style.

  • Excellent computer skills and proficiency with Microsoft Office applications

  • Ability to work in stressful situations and meet deadlines.

  • Ability to work independently and as part of a team.
