Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions
  • Supports the Values-Based culture of Texas Tech.
  • Create a welcoming and positive environment for students, staff, and faculty to ensure the interaction is efficient and satisfying experience.
  • Tracking official transcripts and uploading to Xtender for students who have started the undergraduate & graduate programs. Verifying transcripts meet minimum requirements. Notifying students when needed.
  • Tracking BLS renewals for undergraduate. Uploading documents to the appropriate systems. Notifying students of renewals. Exporting Documents for clinical resources and documents for Graduated & Undergraduate programs.
  • Uploading to the appropriate systems. Calling and notifying students of missing items and reminders of due dates.
  • Preceptor licensure tracking, student tracking and notifications. Thank you letters for clinical hours.
  • Verification of incoming student requirements. CNA, Medical Terminology, CBC's, Immunizations, and tracking Active Shooter Training., etc.).
  • Scholarship verifications and phone notifications, and making sure everything is posted correctly.
  • General office work for Student Affairs Current. Enrollment including copying, faxing, filing, and scanning.
  • Managing student events.
  • Running errands inside & outside of the building.
  • Commencement - Making reader cards for undergraduate and graduate program. Working and helping at commencement ceremony.
  • Managing new student Photo ID's and Name Tags. Verify they are correct and sending to correct sites.
  • Attestation for Undergraduate programs. Verifying all information is up to date and sending to appropriate clinical site.
  • Mailing marketing materials to other sites.
  • Pulling documents from Slate and adding them to the shared drive or uploading to Xtender.
  • Calling new students and reminding students of missing items with their VO and when the deadlines are. Placing holds an incomplete items prior to registration being sent out.
  • Helping Dean's office with mailing out Dean's Honors Certificates.
  • Completing all other jobs as assigned.
Required Qualifications
High school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for required experience on a year for year basis.

Preferred Qualifications
  • Prior administrative experience. 
  • Familiarity/prior experience in medical or educational institutions.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. For additional information, please reference the institutional pay plan website.
