Department Summary

Under the direction of the AVP for Enrollment the Associate Director is responsible for daily operations of the college's CRM (Slate) including daily, weekly, and monthly reporting of enrollment information, report building, set-up, operations, maintenance and all outbound admissions communications (email, text, bulk mailing, etc.). This position is responsible for developing and coordinating comprehensive communication strategies and initiatives for Enrollment Management. This position develops, writes, edits, and coordinates complex original and ongoing content campaigns for use in Slate Customer Relationship Management (CRM) email, text, web, and print communications to promote and/or inform target audiences regarding Enrollment at VSU to meet enrollment goals. The position also works with outside vendors to ensure all admissions communications are effective and timely. The Associate Director is part of the Admissions Leadership team and allocates work to staff that continuously improves technology and communication to enhance the student journey. This position is expected to keep abreast of best practices in enrollment communication and enrollment management practices.

Typical Allocation of Duties

Direct day-to-day operations - 30%Assist in directing the day-to-day operations of the department or unit.

Oversee and monitor - 15%Oversee and monitor departmental or unit initiatives, programs, and events.

Manage activities - 15%Manage various activities for a specific department, unit, or function. Participate in the provision of professional services as required.

Supervise employees - 15%Supervise and coordinate the selection, training, and development of employees.

Represent the department - 10%Represent the department at meetings, functions, or other activities.

Assist with the budget - 10%Provide assistance with budget development and monitoring.

Assume duties - 5%Assume the duties of the Chief Officer or Director in their absence.

Supervisor Expectations

  • Create and manage email campaigns for prospects, inquires, applicants, and admits for segmented populations.
  • Create and manage event campaigns: Email and print communications driving students to events, tracking of event registration and attendance.
  • Implement strategies and tactics to achieve enrollment goals.
  • Oversee end-to-end execution of recruitment and enrollment campaigns, ensuring they are delivered on time, within budget, and in alignment with the university's brand guidelines.
  • Manage the priorities of the Slate communications and technology team within IT and Admissions to meet goals.
  • Collaborate with University Marketing to maintain VSU brand.
  • Stay up to date with CRM features.
  • Ensure the data integrity of Slate.
  • Noticeably contribute to weekly admissions leadership team meetings; provide vision, leadership, inspiration, and advocacy for the student journey.
  • Assist with budget development, oversight, and planning procedures.
  • Provide onboarding and continued systems training for new and existing end users.
  • Be available for evening and weekends in support of Enrollment Management as needed.
  • Assist with development and editing of Admissions related materials.
  • Evaluate new & creative communication opportunities.

Required Qualifications

Required ExperienceBachelor's degree in a specified field and five (5) years of related work experience. Professional licensure, certification, and/or designation may be required in some areas. Successful applicant must meet these requirements by first day of employment.

Conditions of Employment

Employment is contingent upon successful completion of a background check. Position May Require Credit Check (if using P-Card, working with Cash, etc.).

Position Requires completion of VSU's Annual Compliance Training course (such as State Business Transactions, Drug Free Workplace, Anti-Harassment Policy, Introduction to Information Security, Workers Compensation, Motor Vehicle Policy, USG Ethics Policy, Conflict of Interest/ Outside Activities Policy, Leave Procedures for Faculty and Staff, Georgia Open Records Act, Family Educational Rights and Privacy Act (FERPA), and Contracts 101. Supervisory positions require training in FMLA and Worker's Compensation.
