Position Highlights

The Administrative Support Assistant III will fulfill a variety of administrative support duties for Pima County Cooperative Extension, Tucson Village Farm, 4-H. Specifically, the Administrative Support Assistant III will work closely with the 4-H Agent and the Tucson Village Farm team in all aspects of program management including but not limited to procurement, enrollment, donor management, grant reporting, data collection and management, deposits, financial record keeping and reporting, and maintaining standard operating procedures. Although work is performed under supervision and many tasks are routine, independent judgment and creativity are required to be successful in this role.

Duties & Responsibilities

Program Participant Support
The Administrative Support Assistant III will support Tucson Village Farm's participants by:
* Creating flyers and events on Eventbrite
* Handling on-line and in-person program registrations 
* Tracking program registration and demographics
* Corresponding with program participants 
* Assisting 4-H participants enroll in ZSuite

Grant and Development Support
The Administrative Support Assistant III will support Tucson Village Farm with administrative tasks related to grants and donor management including: 
* Tracking grant funds and reporting deadlines
* Assisting with grant reports
* Assisting with donor management and correspondence
* Attending monthly Advisory Board meetings, providing fiscal program 

Procurement and Purchasing Support
The Administrative Support Assistant III will support Tucson Village Farm with operating under University of Arizona procurement and purchasing policies by: 
* Reconciling PCards 
* Assisting with program purchasing 
* Submitting invoices and reimbursement requests
* Arranging travel and submitting travel documents and expenses 

Fiscal Support
The Administrative Support Assistant III will support Tucson Village Farm with financial management by:
* Tracking grant budgets and reporting
* Processing credit card and cash sales at major events
* Making bank deposits and distributing funds across multiple accounts
* Running monthly account balance and transactions reports

Minimum Qualifications

  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
