Associate Registrar
Job Summary: Reporting to the Registrar, the Associate Registrar provides effective management and leadership within the Office of Student Records. The Associate Registrar will work closely with the Registrar to configure and implement academic and student records policies, procedures and initiatives that support the objectives of the College, compliance with internal and external policies, and the strategic plan of the College while providing outstanding customer service to students, staff, faculty, and other internal/external constituents. Manage the daily workflow of the Student Records office in an organized and consistent manner as outlined by the Registrar. Assist the Registrar with the collection and analyzing of data for both internal and external audits. Ensure compliance for registration related processes, including but not limited to transfer credit processes, degree audit processes, and grade closeout processes. Serve as School Certifying Official with the VA and assist Registrar with Veteran’s certification processes. Assist students and faculty with troubleshooting student registration and scheduling issues. Inform faculty, staff, and students about alternatives, limitations and possible consequences of academic decisions (e.g. adding, dropping and withdrawing from courses; change of program, major and/or transfer institution). Manage applications for graduation, master graduation list, reviews degree completion and finalize degree conferral. Monitor audit sheets for program changes and adjustments. Coordinate with Registrar and Department Chairs to ensure efficient and effective semester course scheduling, monitor course seat availability and making recommendations as needed. Manage academic room assignments and consult with events staff regarding available space. Work closely with Hilbert College Global to ensure appropriate practices are in place with transcript evaluations and scheduling. Manage transcript processing system. Complete monthly reporting through NYS HESC and National Student Clearinghouse. Coordinate and implement dual enrollment processes, including section creation, course registration, and final grade entry. Oversee office Work Study position. Monitor student full-time status and course loads as it pertains to state and federal regulations. Develop and interpret academic planning guides; maintain administrative and program information files for advising purposes. Serve on appropriate department, college and/or campus advisory committees.. Ensure accuracy and integrity of student academic records. Remain up to date of ever changing federal, state, accreditation, and institutional regulations and ensure institutional policies and procedures are updated on a regular and consistent basis. Perform other related duties as assigned. Commensurate with experience, this position could be promoted to Senior Associate Registrar.
Requirements: Excellent interpersonal, written and oral communication skills required. Knowledge of FERPA, federal/state regulations and compliance issues. Strong customer service skills. Ability to work effectively with a diverse population. Ability to process and maintain highly confidential information. Strong computer skills, proficient in Microsoft Office. Ability to function effectively in a changing and often busy environment. Ability to work independently as well as a team. Demonstrated ability to interact and collaborate with a variety of constituencies including staff, faculty, and students. Master’s degree required. Minimum of three years' experience in higher education working with administration of academic records. Experience with PowerCampus SIS and Argos preferred.
