Job Summary

The role supports compliance and inclusion reporting functions as well as training materials for the Accessibility and Accommodations Division.

This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 6/11/2023. Salary is commensurate with experience.

Job Summary

Duties & Responsibilities
Case Management Oversight & Analytics:
- Manages processing of new accommodation cases within 24 hours of report/request and ensures ongoing updates to files including deadlines, maintaining notes, receipt, and review of medical documentation.
- Provide secondary support in the medical documentation gathering process in the event of delays or when insufficient documentation is provided.
- Provides analytic support to the ADA Coordinator and assist with the development of annual reports on accessibility and accommodations for campus compliance efforts.
- Runs weekly and ad hoc reports through the ADA Division database to provide ADA Division with up-to-date metrics including standardized and custom reports (run standard and customized reports from the database as needed).
- Provide database oversight, and data editing for accuracy, and record-keeping purposes.
- Gather data as appropriate and as needed to respond to FOIA or other required reporting.
- Provides primary case closure review functions including case closure checklists and review for complete documentation before final closure review by leadership.
- Assists ADA Coordinator in compiling and updating ADA Transition Plan information for reports to campus stakeholders.
- Provides analytic and metric support to leadership to develop strategic growth plans for accessibility and accommodations division and campus-wide initiatives.
- Provides response coordination to leadership in the management of the "Report a Barrier" form including the establishment of additional metrics and reports to address repeat access issues.
- Creates and maintains Accessibility & Accommodations Divisions templates for database communications and documents.
- Answers incoming calls during periods of high call volume, and serves as the first point of escalation for callers experiencing access issues or for escalation of emergent issues.
- Perform related duties as assigned
- Facilitate the campus-sanctioned interactive process on behalf of employees and departments by, making independent judgments on behalf of the Office for Access and Equity, to determine and implement reasonable accommodations pursuant to applicable federal and state laws.
- Primary Accessibility Specialist for parking accommodations, applicant accommodations, and exemptions process.
- Applicable federal and state laws include: the Americans with Disabilities Act Amendments Act (ADAAA), Section 504 of the Rehabilitation Act of 1973 (Rehab Act); Title VII of the Civil Rights Act (Title VII), Illinois Human Right Act (IHRA).
- Provides case management support including employee outreach, scheduling, and review of medical documentation for other Accessibility Specialists in the office.
- Independently manages effective and timely efforts to address reasonable accommodations cases.
- Maintain collaborative relationships with campus academic and administrative units and human resources offices.
- Represent the Access & Accommodations Division in meetings with employees and demonstrate knowledge of policies and procedures related to accommodation categories.
- Provide consultation and general practice knowledge to employees and units seeking information related to the accommodation process.
- Assists in the development of training content and delivery methods for the Accessibility & Accommodations Division and ADA Coordinator.
- Provides ongoing training for database improvements to division staff
- Serves as point of contact for database vendor to address day-to-day issues, outages, and manage upgrades and improvements when available.
- Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration, or a field closely related to the position.
- Two (2) years (24 months) of work experience performing professional-level human resources duties.
- Experience providing reasonable accommodations
- 1+ years of data entry and reporting, including complex database experience
- Excellent organization skills
- Ability to use independent judgment to make decisions
- Attention to detail
- Demonstrated ability to manage high-volume and time-sensitive workload and meet demanding deadlines
- Demonstrated ability to communicate effectively both verbally and in writing
