The Beckman Institute for Advanced Science and Technology at the University of Illinois Urbana Champaign has an opening for an Associate Director for Business Operations. The Associate Director for Business Operations oversees the day-to-day activities of the Beckman Business Office, including the supervision of the proposal development, post-award administration, and non-grant accounting teams, as well as assists the Director of Budget and Resource Planning with data analysis and reporting.

The Associate Director for Business Operations is an exciting opportunity for someone who is looking to lead a diverse team of people, striving to become experts in financial operations and research administration.

Duties & Responsibilities

General Administrative:

  • Supervise business office staff in the areas of proposal development and submission, post-award accounting and administration, and non-grant accounting. This includes but not limited to: monitoring and approving leave requests, providing performance evaluations, delegating duties, etc.
  • Oversee business office procedures and implement changes to improve efficiency.
  • Train and mentor all staff on policies, procedures, and best practices.
  • Lead problem resolution when necessary.
  • Work with Director of Budget and Resource Planning on strategic initiatives within Beckman including customer service, engagement, and collaborations with Campus.

Research Administration:

  • Assign duties to research administration staff according to expertise and workload.
  • Interpret sponsor and University guidelines as they relate to grant proposals and awards; advise faculty as necessary.
  • Assist with large, complex grant proposal submissions.
  • Provide oversight on large, complex grants as it relates to accounting, cost share, and reporting.
  • Gather data on proposals and awards for internal and external reporting.
  • Liaise with faculty for planning and engagement.

Minimum Qualifications

  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience.
  • Demonstrated experience in budgeting, accounting, financial reporting, and/or sponsored research administration.

Preferred Qualifications

  • Two or more years of experience with sponsored research administration; two or more years of supervisory experience.

Knowledge, Skills and Abilities

  • Exceptional customer service skills including strong written and verbal communication.
  • Ability to work as part of a fast-paced team.
  • Working knowledge of MS Office products, especially MS Excel and Word.
  • Effective analytical and problem-solving skills.
  • Must be able to multi-task and meet deadlines.

Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after November 12, 2023. The salary range for this position is $95,000-$105,000 per year.
