The Program Coordinator at the Education Psychology (EDP) Department, under the College of Education (COE), performs critical duties by supporting the Department Head, faculty members, students, and staff in EDP. The Program Coordinator is responsible for all student related and course management related administrative duties for the EDP department including, but not limited to, communicating directly with students from application and admission through graduation regarding academic policies and timelines; scheduling undergraduate and graduate courses and adhering to RCS timelines; providing support to the administrative associate/business manager in the department. This position will exercise initiative, resourcefulness, high proficiency and comfort in multi-tasking, strong customer service, excellent organizational skills, and the ability to work independently, as well as to collaborate closely with faculty, staff, the EDP Department Head, COE Shared Services, the Graduate College, and other university units.Outstanding UA benefits include health, dental, and vision

Duties & Responsibilities
Graduate
Coordinator duties:
- Oversee advertising of graduate degree programs, recruitment, admissions, and orientation of new students.
- Register students, monitor graduate student enrollment.
- Graduate Student Funding - monitor and maintain student financial aid awards. This includes financial aid- placeholders, over awards, disbursement issues.
- Provide information and statistical data such as detailed enrollment statistics in the programs; analyze data and maintain academic files.
- Provide support to the current and prospective students including responding to inquiries via email, voice mail, advising graduate students, tracking progress toward degrees.
- Complete basic admissions process for recommended graduate students.
- Maintain accurate, complete, and current student and alumni databases and listserv.
- Ensure graduate students hired on Graduate Assistantships meet the qualifications for appointment according to Graduate College GA Manual. Keep records for graduate assistantship assignments, performance evaluations, and independent studies/dissertation information.
- Obtaining application fee waivers, petitions, etc.
- Assist the Director of Graduate Studies with financial aid applications and allocations.
- Coordinate with the student, committee chair, and Graduate College in the final steps for final oral exam and the completion of department requirements.
- Monitor graduate student progress through Grad Path forms and advise appropriate faculty/department head of any potential concerns.
- Coordinate with Graduate College degree counselor regarding filing Grad Path forms and expected graduation term.
- Coordinate with EDP faculty and CoE convocation coordinator regarding students expected to graduate each term.
- Screen incoming inquiries from students, faculty, and the public to provide prompt attention and effectively manage customer expectations.
- Serve as back-up to the administrative support in department, i.e. PCard transactions/travel arrangements and reimbursements; timesheet coordination and approval.
- Manage social media account and website.
Curriculum/Course
Management duties:
- Monitor graduate and undergraduate course enrollments, deciding if the course needs to be canceled or additional marketing for class needs to be made.
- Schedule undergraduate and graduate courses in UAccess, adhering to RCS timelines.
- Organize and maintain a database of course offerings and faculty teaching loads.
- Submit new courses, course modifications, and course deletions through UAccess; serve as the liaison between faculty members and APC.
- Make recommendations to faculty members regarding their course request to assure course will be approved by COE Academic Program Committee (APC), Room and Course Scheduling, and Academic Affairs as soon as possible. Analyze new course requests to make sure no similar course already exists in the department or other departments in COE.
- Assist faculty members with curriculum-related and miscellaneous requests, as well as advise on academic policies and procedures.
- Use UAccess Analytics to review and analyze historical enrollment for all courses to assure courses being offered are the best option.
- Schedule Room Priority Requests adhering to RCS timelines.
- Work with AdAstra or other programs such as Lativ Scheduling Studio to provide the department with the best scheduling options each semester.
- Adhere to COE Course Cancellation timelines and processes.
- Register graduate and undergraduate students in classes, as needed.
- Attend RCS training and symposia as needed.
- Schedule department-controlled classrooms and conference rooms.
- Reserve rooms for course-related events.
- Initiate Teacher Course Evaluations.
- Communicate with COE Coordinator Academic Management.
- Collect and maintain graduate and undergraduate syllabi each semester.

Knowledge, Skills,
Abilities:
- Proficient in Microsoft Suite Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook), Adobe and Zoom.
- Strong customer service skills.
- Self-motivated, takes initiative, and has a strong ability to multi-task multiple projects.
- Knowledge of office and administrative practices and procedures.
- Excellent oral and written communication skills, organization skills, and the ability to prioritize and multi-task working both independently and in a team-based environment.
Minimum Qualifications
- Bachelor's degree or equivalent advanced learning attained through experience required.
- One year of relevant work experience required.
Preferred Qualifications
- Experience in Higher Education and working with graduate students.
- Experience with University of Arizona business enterprise systems such as UAccess - Student, Employee, Analytics, Room and Course Scheduling.
