Undergraduate Programs

Job Summary
As part of the Gies Undergraduate Admissions team, coordinate the administration and distribution of undergraduate scholarships in Gies College of Business. This position will work collaboratively across many units within the college and campus, including Gies Advancement, Marketing & Communications, Office of Student Financial Aid, and Gies IT Partners. This position will also be a key administrator within the Gies Undergraduate Admission team, assisting with recruitment, admission, and yield of a diverse cohort of high-quality undergraduate students.
Duties & Responsibilities

Scholarships
  • In coordination with the Associate Director of Admissions and Recruitment, implement and manage the undergraduate scholarship process for new and continuing students in Gies College of Business.
  • Manage and lead committee to review and select Gies College of Business Emergency Scholarships for students in financial crisis.
  • Assist Assistant Dean and Associate Director of Admissions in managing strategic initiatives based on the scholarship budget to support Gies admission goals for recruitment and to decrease unmet need.
  • Collaborate with Gies Marketing and Communications to manage and revise the annual marketing plan for scholarship awards.
  • Develop and lead audit processes for college scholarships.
  • Collaborate and consult with college and campus programs and departments that utilize scholarships to support students to ensure alignment with college scholarship initiatives.
  • Lead scholarship process assessment and evaluation, including data collection, review, and analysis of the scholarship process.
  • Partner with Advancement, Financial Aid, and Corporate Relations to secure new and ongoing funding and maintain relationships with donors.
  • Represent Gies Scholarship programs within the university and with external stakeholders.
Admissions
  • Serve on the Gies Business first-year, off-campus transfer, and intercollegiate transfer undergraduate admissions review committees; review applications and make admission decision recommendations based on established college goals.
  • Serve as Gies presenter and representative at college and University admissions and recruitment events and activities when necessary.
  • Engage with prospective students and their families, counselors, and other individuals/entities through in-person, telephone, and online interactions when necessary.
  • Assist with hiring, training, and supervising Admissions Interns.
  • Support Gies Ambassador programming.
  • Lead programming for recruitment and outreach initiatives surrounding scholarships, financial aid, paying for college, etc.
Administration
  • Coordinate yearly calendar for all scholarship initiatives (including admissions, OFSA, honors, emergency scholarships, matching, etc.).
  • Partner with IT Partners and Advancement/Stewardship to build, review, test, and implement tools for awarding scholarships (like the Gies Scholarship Module).
  • Coordinate scholarship reporting from Gies Business into DAWS.
  • Prepare reports, internal and external, involving scholarship initiatives, process and data. (this is sort of included in the "lead scholarship process assessment" part under scholarships.
Minimum Qualifications
  • Bachelor's degree.
  • Three (3) years of work experience in undergraduate scholarship administration, student recruitment, admission counseling, event planning, or a related field.
  • Demonstrated experience supervising professional staff or student employees.
Preferred Qualifications
  • Master's degree
  • Knowledge of student financial aid and/or undergraduate scholarship review and distribution
  • Experience at the University of Illinois at Urbana-Champaign or a similar higher education institution.
  • Previous involvement in setup and implementation of event programming, as well as strategy development.
  • Familiarity with Customer Relations Management systems and productivity software, such as Slate, Asana, Box, Microsoft Teams, Tableau, and Webtools.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the posting close date. Salary is commensurate with experience.
