The Department of Geosciences seeks an Administrative Support Assistant I (Part-Time) to serve as the first point of contact and provide administrative support to the department's faculty, staff, and students.
This front desk position requires a high degree of professionalism, excellent communication and customer service skills, along with the ability to multi-task and prioritize.
The Geosciences Business Office is a fast-paced and lively environment. The successful candidate will be able to work independently and take initiative. This is an excellent opportunity to learn the varied business office practices and processes of UArizona.

Duties & Responsibilities
Department Administrative Support:
- Monitor inventory and order supplies via
purchasing card or purchase requisition. - Monitor copier room for inventory of supplies;
responsible for reporting any maintenance concerns on office equipment. - Monitor department lounge for inventory of
supplies; responsible for reporting any maintenance concerns. - Initiate Facilities Management requests,
coordinating with building manager as needed. - Initiate requests to Department IT for technical
issues in conference rooms or classrooms. - Maintain department room schedule calendars and usage.
- Distribute mail, coordinate FedEx shipments, and
maintain department mailboxes. - Perform other clerical tasks such as preparing
correspondence, faxing, scanning, copying, organize
and maintain cloud-based filling as needed. - Maintain departmental motor pool files and process
departmental motor pool rentals for research, field trips, and outreach
needs. - Assist development staff with drafting donor communications.
- Assist faculty and staff with special projects as needed.
- Other administrative duties as assigned.
Financial Document Processing:
- Prepare and submit financial transactions in UAccess Financials including, but not limited to, Disbursement Vouchers (DVs) for employee expense reimbursements (non-travel related), procurement requisitions through Shop Catalogs, and external vendor payments.
- Address any questions or requests for additional
supporting documentation from Financial Services, UA Foundation or other
central units relating to documents submitted. - Other duties as assigned.
General Front Desk Operations:
- Oversee the daily task assignments of student
workers and serve as primary back-up on their tasks if needed. - Greet department visitors and direct and/or assist
as needed. - Maintain front office appearance and cleanliness.
- Update front office procedures with current
information. - Responsible for securing the doors at 5:00 pm on all business days.
- Other duties as assigned.
Minimum Qualifications
- High school diploma or equivalent, or equivalent learning attained through experience.
Preferred Qualifications
- Experience with Microsoft Office Suite (Word, Excel, MS Teams, Outlook, PowerPoint).
- Experience providing customer service.
- Experience with University systems (i.e. UAccess Financials).
