Job Summary

Working as a collaborative member of the leadership team for Nursing and Health Promotion, the Health Assistant II (HA II) Manager is responsible for assuring safe, quality, reliable care by Health Assistant IIs throughout HUHS. The HA II Manager provides oversight, coaching, and development to HA II team leaders, who in their roles are direct supervisors to the Health Assistant IIs on their teams. This role also works closely with the HA II team leaders, practice managers, and nurse managers to ensure adequate clinical department staffing, as well as assure units are meeting Department of Public Health and accreditation standards. As part of the clinical leadership team, the HA II Manager reviews and authors policies and procedures applicable to Health Assistant II workflow, oversees the onboarding of HA IIs throughout the clinic, and participates in the budget process for each department. The HA II serves on committees, offers ideas for improvement, serves as a process owner for projects related to HA II clinical care, and contributes to activities that support the strategic initiatives of HUHS. Works clinically as a HA II as needed. 

Position Description
  • Responsible for assuring safe, quality, reliable care by Health Assistant IIs throughout HUHS.  
  • Assures documentation by HA IIs is standardized, complete, accurate, and relevant to patient care. Provides auditing and feedback to HA IIs on documentation standards. 
  • Oversees HA II team leaders in each clinical department, including developing and coaching them, and helps ensure adequate department staffing. 
  • Provides oversight to the recruiting, onboarding, and retention of new HA IIs in each clinical department. 
  • Has final approval on time off and payroll for all HA IIs.  
  • Utilizing problem solving and coaching skills, leads and participates in activities to improve care. 
  • Creates and updates standard work protocols that involve HA IIs, including, but not limited to, the opening and closing of the clinic, supplies and stocking, and waived testing. Assures all HA IIs are following standard work protocols through audits. 
  • Identifies required clinical competency training for all new HA IIs and designs new competencies as clinical needs require. Assures appropriate yearly evaluation of competencies as appropriate in each department. 
  • Works collaboratively including participation in environmental rounds, to assure units are meeting Department of Public Health and accreditation standards. 
  • Participates in the budgeting process for clinical departments in which HA IIs work. 
  • Actively participates in appropriate HUHS committees and workgroups. 
  • Assists in the development of key performance indicators for departments in which HA IIs work. 
  • Assumes on call responsibilities as part of the clinical operations management team. 
  • Contributes to activities to support the strategic initiatives of HUHS including but not limited to immunization clinics. 
  • Adheres to the expectations and professional responsibilities of the department.  
  • Employs the standards, practices, and procedures of the department.  
  • Completes and complies with HUHS training requirements including HIPAA Privacy and Security.  
  • Reports non-compliance incidents to the supervisor, manager, and/or Compliance Officer. 
  • Reports safety events when processes impacting patients don't work as designed. Encourages HA IIs to do so as well.  Works with Safety team to determine root cause and remediate as needed. 
Basic Qualifications
  • Bachelor's degree 
  • Minimum of 5 years of previous experience as a certified medical assistant 
  • Experience working with EMR and Microsoft Office suite 
Additional Qualifications and Skills
  • Previous experience in a leadership role. 
  • Previous experience in an academic setting. 
Physical Requirements

All Harvard University Health Services (HUHS) staff and staff affiliates are considered Health Care Workers and as a condition of employment must provide documentation of the following:  

  • Letter of good health from your personal health care provider.  
  • TB skin test (within past 3 months) or, if known skin test positive, documentation of previous chest x-ray, information about any past treatment.  
  • Documentation of immunity (positive antibody titers) for Measles, Mumps, Rubella and Varicella.  
  • Proof of appropriate past immunization for Measles, Mumps, Rubella and Varicella. 
  • Hepatitis B vaccine series - required for staff with possible exposure to blood or blood borne pathogens.  
  • A current Flu vaccine (this season) and Covid vaccines to include the Primary series and Bivalent Booster.  

The required medical documentation/medical clearances can often be obtained by contacting your Pediatrician, PCP, medical provider. Titers, TB Skin testing can be performed by appointment at Occupational Health facilities.
